About the Opportunity

Experiencing Wellness is a new wellness center preparing to open in Lawrence, Kansas. We are seeking an exceptionally organized, resourceful, and self-directed individual to work directly with the founder as an Executive Assistant & Operations Coordinator during our opening and early operational period.

This is not a traditional administrative assistant position.

We are looking for someone who enjoys taking ownership, bringing order to multiple moving projects, following through with people, solving problems, and helping turn plans into action.

The immediate need is significant as we prepare the business for opening. For that reason, the position will initially be full-time. Once the Center is established and operating smoothly, we will evaluate the ongoing needs of the position. There may be an opportunity for the right person to continue in a full-time or part-time role based upon the needs of the organization and the individual's strengths and interests.

What You'll Help Accomplish

Working directly with the founder, you will help coordinate and execute the many projects involved in launching Experiencing Wellness. Responsibilities will include:

  • Managing and maintaining the master opening plan, priorities, deadlines, and follow-up.
  • Helping determine what needs immediate attention and ensuring important tasks do not fall through the cracks.
  • Coordinating communication and follow-up with vendors, contractors, staff, marketing professionals, and business partners.
  • Researching issues, gathering information, comparing alternatives, and presenting recommendations for decisions.
  • Coordinating equipment purchases, deliveries, documentation, warranties, manuals, and vendor relationships.
  • Helping establish affiliate and referral relationships with selected product and technology companies.
  • Assisting with implementation and organization of scheduling, CRM, and other business systems.
  • Coordinating employee training schedules and educational materials.
  • Helping organize operating procedures, policies, and internal documentation.
  • Coordinating various marketing projects, including digital marketing, print materials, direct mail, vendor resources, and local outreach.
  • Tracking projects assigned to other people and following up to make sure commitments are completed.
  • Organizing meetings, schedules, appointments, travel, correspondence, and other executive-support needs.
  • Providing occasional personal administrative assistance to the founder.
  • Identifying problems early and helping develop practical solutions.

The responsibilities will evolve as the Center moves from opening into regular operations.

The Person We're Looking For

The ideal candidate is someone who can be given an objective rather than a detailed set of instructions and then figure out how to move it forward.

You may be a strong fit if you:

  • Are exceptionally organized and naturally create structure from complexity.
  • Take initiative without needing to be continually directed.
  • Have excellent follow-through.
  • Can manage numerous projects and priorities simultaneously.
  • Communicate professionally and comfortably with executives, vendors, employees, and outside professionals.
  • Exercise good judgment and know when to make progress independently and when a decision needs to be brought to the founder.
  • Are comfortable researching unfamiliar subjects and quickly learning new systems.
  • Are proficient with computers, cloud-based applications, and modern productivity tools.
  • Are comfortable using or learning AI tools such as ChatGPT to improve research, organization, communication, and productivity.
  • Can write clear, professional emails and documents.
  • Are comfortable working in a fast-moving entrepreneurial environment where priorities sometimes change.
  • Enjoy solving problems and getting things accomplished.

Experience

Experience in one or more of the following areas would be especially helpful:

  • Executive assistance
  • Project coordination or project management
  • Business operations
  • Office management
  • Small-business administration
  • Professional or personal executive support
  • Marketing coordination
  • Startup or new-business launches

Experience in the wellness industry is not required. We are more interested in organizational ability, initiative, judgment, professionalism, and the ability to learn quickly.

Position Structure

This position is initially expected to be full-time during the launch and early operational phase of Experiencing Wellness.

The immediate opening period will require flexibility and a willingness to take responsibility for a wide variety of projects. As the Center becomes established, the ongoing needs of the position will be evaluated.

Depending upon those needs and the interests and strengths of the person hired, there may be an opportunity to transition into an ongoing full-time or part-time position.

Compensation

$1,000 per week, salaried

Compensation and the longer-term role will be reviewed as the position evolves.

Schedule

This is primarily an in-person position in Lawrence, Kansas, particularly during the opening period. Some flexibility may be possible depending upon responsibilities and business needs.

How to Apply

Please submit your résumé along with a brief note addressing the following:

Tell us about a situation in which you were given a complicated project with multiple moving parts and limited direction. How did you organize it, what actions did you take, and what was the result?

We are particularly interested in candidates who can demonstrate initiative, ownership, organization, sound judgment, and the ability to get things done.

Pay: From $1,000.00 per week
