ABOUT THE ROLE

We are seeking an exceptional Executive Assistant to provide high-level, strategic support to our CEO — ALJ Emerging Sectors. This is not a traditional administrative role — it is a trusted partnership with the CEO, serving as a force multiplier for his time, focus, and decision-making across a fast-moving, multi-region business.

The ideal candidate is a seasoned professional who thrives in a high-stakes, cross-cultural environment, anticipates needs before they arise, and operates with absolute discretion and sound judgment. You will be the CEO’s right hand — managing his most critical relationships, coordinating across geographies and time zones, and ensuring that the Office of the CEO runs with precision and purpose.

KEY RESPONSIBILITIES

  • Strategic Calendar & Time Management — Own and optimize the CEO’s complex, multi-time-zone calendar. Exercise independent judgment in prioritizing meetings, resolving scheduling conflicts, and protecting the CEO’s time for high-impact work and strategic thinking.
  • Executive Communication & Gatekeeping — Serve as the primary point of contact between the CEO and internal/external stakeholders. Draft, review, and manage correspondence on the CEO’s behalf with a polished, on-brand voice.
  • Meeting Preparation & Follow-Through — Prepare comprehensive briefing materials, agendas, and talking points ahead of all key meetings. Ensure decisions are captured, action items are tracked, and follow-ups are driven to completion across departments and geographies.
  • Global Travel Coordination — Plan and manage complex international travel itineraries across Mainland China, Hong Kong, Dubai, and other markets. Handle all logistics including flights, accommodations, ground transport, visa requirements, security briefings, and contingency planning.
  • Confidential & Sensitive Matters — Handle highly confidential information with the utmost discretion. Maintain strict confidentiality protocols at all times.
  • Relationship & Stakeholder Management — Build and nurture trusted relationships with key partners, senior executives, and their respective assistants. Serve as a warm, professional ambassador for the CEO and the company.
  • Office of the CEO Operations — Oversee the daily operations of the CEO’s office, including expense management, document preparation, presentation development, and ad-hoc research. Ensure seamless coordination with the broader executive support team.
  • Cultural & Event Coordination — Support the planning and execution of executive off-sites, board meetings, leadership retreats, and high-profile external engagements, managing logistics, guest experience, and protocol sensitivities across cultures.

QUALIFICATIONS & EXPERIENCE

  • Bachelor’s degree or higher; degrees in Business Administration, International Relations, or related fields are a plus.
  • Minimum 7–10 years of experience supporting C-suite executives, preferably in a multinational, or high-growth environment.
  • Demonstrated experience supporting a CEO or senior executive with global, multi-region responsibilities.
  • Proven ability to work across multiple time zones, particularly bridging Asia (Mainland China/Hong Kong) and the Middle East (Dubai).
  • Exceptional written and verbal communication skills; ability to draft executive-level correspondence independently.
  • High emotional intelligence, cultural sensitivity, and the ability to build trust quickly with senior stakeholders from diverse backgrounds.
  • Impeccable discretion and a proven track record of handling confidential and sensitive information.
  • Strong organizational and project management skills; ability to manage multiple priorities simultaneously without dropping the ball.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, Zoom, Slack).

LANGUAGE REQUIREMENTS

  • English: Business fluency required (written and spoken).
  • Mandarin Chinese: Strongly preferred — ability to communicate effectively with stakeholders in China.
  • Arabic: A plus, but not required.
  • Additional languages are an advantage given the global nature of the role.

WHAT WE OFFER

  • Be part of a globally respected, family-owned organization with 80 years of pioneering history.
  • Work across diverse cultures and geographies with real international exposure.
  • Join a people-first culture built on Respect, Continuous Improvement, Pioneering Spirit, and Empowerment
  • A rare opportunity to work side by side with a visionary Global CEO in a high-growth, entrepreneurial environment.
  • A collaborative, ambitious, and values-driven culture that rewards ownership and excellence.

HOW TO APPLY

Interested candidates are invited to submit a resume and a brief cover letter (max one page) outlining their relevant experience and motivation for applying. Please indicate your preferred location (Shenzhen, or Hong Kong) in your application. Applications will be reviewed on a rolling basis.
