About the Position

We are looking for an exceptional Executive Assistant to provide high-level support to US-based executives and business owners.

This role is for someone polished, proactive, and extremely detail-oriented who can manage competing priorities, communicate professionally on behalf of leadership, and anticipate what needs to happen next.

You will be trusted with important information, deadlines, communications, and projects, so strong judgment, discretion, and follow-through are essential.

Our SCORE Values

  • Solution-focused: Think critically and propose solutions independently.
  • Curiosity: Ask questions and actively seek understanding.
  • Ownership: Take full accountability and responsibility for your role.
  • Resourcefulness: Use all available resources to solve challenges or answer questions.
  • Excellence: Deliver high-quality work and exceptional results.

Who You Are

  • You have exceptional attention to detail and notice things others miss.
  • Your written and spoken English is near-native, polished, and professional.
  • You are proactive and anticipate needs instead of waiting for instructions.
  • You communicate confidently with executives, clients, vendors, and other professionals.
  • You are highly organized and comfortable managing multiple priorities at once.
  • You have excellent judgment and know what to handle independently and what to escalate.
  • You are resourceful and research solutions before asking for help.
  • You take ownership of outcomes and follow through until the job is done.
  • You are discreet and comfortable handling confidential information.

Hint: On your first interview, mention which SCORE value you most align with at the end of the interview for huge bonus points.

Responsibilities

  • Manage complex calendars, meetings, appointments, and scheduling across multiple priorities and time zones.
  • Manage inboxes, correspondence, follow-ups, and executive communications.
  • Coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Prepare documents, presentations, reports, meeting agendas, and other executive materials.
  • Track priorities, commitments, deadlines, and action items to ensure nothing falls through the cracks.
  • Conduct research, compare options, and present clear recommendations.
  • Coordinate with clients, vendors, partners, and internal team members on behalf of leadership.
  • Support meetings by preparing materials, documenting action items, and coordinating follow-up.
  • Maintain organized records, files, trackers, and confidential information.
  • Support executive projects and other operational priorities as needed.
  • Identify opportunities to improve organization, workflows, and executive efficiency.

Role Requirements

  • 3+ years of professional Executive Assistant experience supporting executives, founders, or senior leadership.
  • Near-native written and spoken English with excellent grammar and professional communication skills.
  • Previous experience working with US, UK, Canadian, or Australian executives or companies strongly preferred.
  • Exceptional attention to detail, organization, and follow-through.
  • Strong calendar, inbox, travel, and meeting management experience.
  • Excellent professional judgment, discretion, and confidentiality.
  • Ability to manage multiple priorities independently in a fast-paced remote environment.
  • Strong research and problem-solving skills.
  • Tech-savvy and comfortable learning new tools quickly.
  • Proficiency with Google Workspace and experience with modern business and project management tools.
  • Comfortable working during US business hours.
  • Reliable primary and backup internet connections.

Nice to Have

  • Experience supporting founders or C-suite executives.
  • Experience working in a startup, agency, professional services, or other fast-paced environment.
  • Experience coordinating projects across multiple stakeholders.
  • Experience with CRMs, project management tools, AI tools, or automation platforms.
  • Experience creating SOPs, executive dashboards, trackers, or operational systems.
