Position Overview
Hopewell Music is seeking an experienced and highly organized Executive Assistant to the Executive Director. This position goes beyond traditional administrative support. We are looking for someone who understands nonprofit organizations and can help an executive leader translate ideas, priorities, conversations, and organizational goals into clear action.
Working closely with the Executive Director, the Executive Assistant will help manage priorities, coordinate follow-through, strengthen internal systems, and support projects across the organization.
Key Responsibilities
Executive & Leadership Support
- Meet regularly with the Executive Director to review ideas, priorities, projects, and organizational needs.
- Turn conversations and broad ideas into clear action items, timelines, assignments, and next steps.
- Maintain a centralized tracker of executive priorities, projects, commitments, delegated responsibilities, and follow-up items.
- Prepare meeting agendas, notes, background information, and follow-up materials.
- Coordinate follow-up communication and reminders with staff and other stakeholders.
Project & Organizational Coordination
- Coordinate administrative follow-up after staff and leadership meetings.
- Assist with special projects assigned by the Executive Director.
- Develop and maintain simple systems that improve organization, communication, and accountability.
- Help move projects from idea → planning → delegation → follow-up → completion.
Nonprofit Administration
- Maintain important organizational documents, policies, records, and administrative files.
- Assist with tracking contracts, reporting requirements, deadlines, and other organizational responsibilities.
- Coordinate with staff, board members, contractors, and community partners when appropriate.
- Help document and improve internal processes and procedures.
Strategic & Growth Support
- Support annual and quarterly organizational planning.
- Conduct research and prepare concise summaries to support executive decision-making.
- Assist with partnership, stakeholder, and organizational follow-up.
- Organize information related to new opportunities, partnerships, programs, and initiatives.
- Support implementation and tracking of strategic priorities and growth initiatives.
- Help strengthen Hopewell’s leadership and administrative infrastructure as the organization grows.
Ideal Candidate
We are especially interested in candidates with experience in nonprofit leadership, nonprofit operations, program management, project management, executive support, or organizational administration.
The strongest candidate will be someone who can listen to a broad idea or goal from the Executive Director, organize the information, identify priorities, and independently help determine what needs to happen next.
Preferred Qualifications
- 3+ years of relevant nonprofit, executive support, operations, program management, project management, or organizational leadership experience.
- Strong organizational, planning, and project-management skills.
- Excellent written and verbal communication.
- Ability to manage multiple priorities with limited supervision.
- Strong professional judgment and discretion with confidential information.
- Ability to communicate and follow up effectively with staff, board members, partners, and stakeholders.
- Comfortable working directly with an executive leader in a growing organization.
- Experience developing or improving administrative systems and processes.
- Comfortable working in an environment where priorities and opportunities may evolve.
Experience in arts, education, youth development, community development, or another mission-driven organization is preferred but not required.
What Success Looks Like
During the first 90 days, the Executive Assistant should:
- Develop a strong understanding of the Executive Director’s priorities, leadership style, and working process.
- Establish an effective system for tracking executive priorities, projects, commitments, and follow-up.
- Take ownership of recurring executive and administrative responsibilities.
- Improve organizational follow-through on projects and delegated tasks.
- Strengthen internal systems for coordination, accountability, and communication.
- Demonstrate the ability to independently move projects from idea to action.
- Reduce the amount of administrative and coordination work requiring direct Executive Director involvement.
Temp-to-Hire Structure
The position will begin with a 90-day introductory period at approximately 10–15 hours per week. During this period, Hopewell and the employee will evaluate performance, organizational needs, responsibilities, and long-term fit.
Successful performance may result in continued employment and opportunities for expanded responsibilities as Hopewell Music grows.
