About Us
Keller Williams ONE West Group is a growing real estate organization serving agents and clients across multiple market centers throughout the Fort Worth and surrounding areas. We are a fast-paced, people-focused organization committed to growth, strong leadership, exceptional service, and creating opportunities for the people we serve.

We are looking for a proactive, highly organized Executive Assistant who can help a senior leader stay focused on the organization’s highest priorities. This person will serve as a trusted partner, helping manage communication, schedules, projects, meetings, and follow-through across multiple departments and locations.

The ideal candidate is resourceful, professional, detail-oriented, and comfortable working in an environment where priorities can shift quickly. This role requires someone who takes ownership, anticipates needs, communicates clearly, and ensures important details do not fall through the cracks.

Key Responsibilities

  • Manage a busy and frequently changing executive calendar, including meetings, appointments, travel, and protected focus time
  • Prepare the executive for meetings by organizing agendas, reports, documents, and relevant background information
  • Attend meetings as needed, capture action items, and ensure commitments are assigned and completed
  • Draft, review, and organize emails, presentations, correspondence, and internal communications
  • Help prioritize incoming requests and ensure urgent or high-impact matters receive timely attention
  • Track projects, deadlines, goals, and follow-up items across multiple departments
  • Coordinate meetings, leadership events, trainings, and company initiatives
  • Communicate professionally with staff members, real estate agents, vendors, business partners, and outside organizations
  • Maintain organized digital files, records, reports, and confidential information
  • Assist with travel arrangements, expense reporting, purchasing, and administrative logistics
  • Identify inefficiencies and help create systems that improve communication, accountability, and execution
  • Support special projects and other responsibilities as organizational needs evolve

What Success Looks Like

  • The executive is prepared, organized, and able to focus on high-level priorities
  • Meetings have a clear purpose, the right information, and documented next steps
  • Important deadlines, commitments, and follow-up items are completed consistently
  • Communication is handled promptly, professionally, and with good judgment
  • Projects continue moving forward even when several priorities are competing for attention
  • The Executive Assistant becomes a trusted, dependable partner to both the executive and the broader leadership team

Qualifications

  • Two or more years of experience as an Executive Assistant, Administrative Assistant, Office Manager, Project Coordinator, or in a similar support role
  • Exceptional organization, time-management, and follow-through skills
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities in a fast-moving environment
  • High level of professionalism, discretion, and emotional intelligence
  • Strong problem-solving skills and the ability to make sound decisions independently
  • Confidence communicating with leaders, team members, vendors, and business partners
  • Proficiency with Microsoft Office or Google Workspace
  • Comfort learning and using project-management, communication, and AI-supported productivity tools
  • Experience in real estate, operations, event coordination, or a multi-location organization is helpful but not required

The Right Person for This Role
You may be a great fit if you:

  • Naturally think ahead and anticipate what will be needed
  • Take ownership without waiting to be reminded
  • Enjoy bringing structure and clarity to busy environments
  • Can shift priorities without becoming overwhelmed
  • Pay close attention to details while still understanding the bigger picture
  • Communicate directly, professionally, and thoughtfully
  • Are comfortable holding others accountable to deadlines and commitments
  • Value relationships and understand the importance of a genuine human touch
  • Are energized by helping a team grow and accomplish meaningful goals
  • Are willing to help wherever needed while maintaining strong boundaries and priorities
