Overview:
We are seeking a highly experienced Executive Assistant to serve as the Founder’s true right hand across a fast-growing media, fashion, and brand-partnership business. This is a senior, high-trust, on-site position for someone with 7–10+ years supporting a C-suite executive, founder, or high-profile principal—someone who exercises independent judgment, anticipates needs before they are spoken, and can represent the Founder credibly with partners, retailers, and press.
This is not an entry-level or traditional administrative role. The right candidate has already operated at this level: managing complex and competing priorities for a principal whose time and reputation are core business assets, while demonstrating discretion, composure, maturity, and executive presence.
Success in this position requires more than completing assigned tasks. We are looking for someone who is highly intelligent, attentive, logical, and naturally inquisitive—someone who actively processes what is being communicated, thinks several steps ahead, identifies missing information, asks thoughtful questions, and anticipates what will be required next.
Constant, proactive communication is essential. The Executive Assistant will be expected to maintain complete visibility into action items, deadlines, dependencies, and completion status while providing the Founder with timely updates, asking questions when clarification is needed, and proactively communicating changes or potential issues.
This role combines executive-level judgment and access with significant hands-on execution. The right candidate will be comfortable making high-judgment decisions while also personally handling production, wardrobe, sample preparation, travel, and logistical responsibilities when needed.
Responsibilities
Strategic & Business Operations
- Serve as the Founder’s primary gatekeeper and liaison—managing calendar strategy, prioritization, and access, not simply scheduling logistics.
- Own coordination across brand partners, PR teams, retail partners, and internal team members, ensuring alignment, accountability, and timely follow-through.
- Represent the Founder in select meetings and communications when delegated, exercising sound judgment within agreed parameters.
- Manage and reconcile business and sample-related budgets, including vendor negotiations, expense oversight, and financial reporting.
- Lead project management across brand partnerships, the apparel collection, and content initiatives, tracking deliverables, deadlines, dependencies, and next steps across multiple workstreams.
- Maintain detailed systems for tracking action items, responsibilities, deadlines, requirements, and completion status.
- Proactively and consistently communicate updates, questions, risks, changes, and completed items to the Founder without requiring follow-up.
- Handle confidential business information, including deal terms, partnership discussions, and financial information, with the highest degree of discretion.
Executive Support
- Manage complex and frequently shifting business and personal calendars, including travel, fittings, shoots, meetings, appointments, and PR appearances.
- Ensure the Founder is fully prepared for every meeting, appearance, trip, and shoot, including materials, briefings, wardrobe, logistics, and other requirements.
- Anticipate gaps, conflicts, or potential problems before they occur and proactively develop solutions.
- Approach requests with critical thinking and sound judgment rather than simply executing instructions. Ask thoughtful questions, identify dependencies, and consider what additional actions may be necessary to accomplish the intended outcome.
- Operate calmly and effectively under pressure while managing multiple urgent priorities simultaneously.
- Take ownership of unexpected problems from identification through resolution, researching practical options and presenting thoughtful recommendations rather than simply escalating issues.
Home Office & Household Coordination
- Oversee Home Office and household logistics, including vendors, appointments, deliveries, home organization, and related administrative needs.
- Coordinate directly with service providers and vendors to ensure household and Home Office needs are completed accurately and on schedule.
- Research and troubleshoot household or logistical issues, identify practical solutions, and present appropriate options to the Founder.
- Maintain organization and visibility across personal and household-related action items without requiring the Founder to repeatedly follow up.
- This position does not include responsibility for managing household staff.
Creative, Sample Preparation & On-Set Support
- Provide significant hands-on support for both in-home and on-location content production.
- Prepare samples and wardrobe for photoshoots and content production, including steaming garments, organizing and preparing looks, packing and unpacking wardrobe, arranging accessories, and ensuring products are camera-ready.
- Maintain an organized, production-ready system for samples, wardrobe, accessories, and other content materials.
- Print scripts, review production requirements, check set-up, and ensure necessary materials are prepared before shoots begin.
- Unpack, organize, track, and prepare influencer gifting and product samples for shoots and social media integration.
- Actively participate in the creative process when needed, including adjusting angles, props, wardrobe, lighting, and other details necessary to execute the intended creative direction.
- Remain adaptable and receptive to creative direction, feedback, and changing priorities throughout the production process.
- Be comfortable working in fast-paced, physically active environments, including standing for extended periods, moving between locations, and lifting or carrying styling and product materials.
Vendor & External Partner Coordination
- Own relationships with vendors supporting the Home Office, household, production, travel, and logistics needs.
- Negotiate terms, coordinate services, monitor deliverables, and address performance issues when necessary.
- Coordinate freelance production resources and external creative partners as needed for shoots, events, and other projects.
Travel & On-Location Support
- Travel with the founder, providing senior-level administrative and operational support on the ground — problem-solving in real time rather than executing a checklist.
- Support additional press/brand travel to New York and Los Angeles, owning logistics end-to-end.
- Ensure wardrobe, samples, materials, schedules, transportation, reservations, and other travel requirements are confirmed and accounted for before departure and throughout each trip.
- Provide hands-on support at local Dallas-based events, managing logistics, timelines, and on-site needs to ensure seamless execution.
Home Office Management
- Maintain highly organized systems for wardrobe, inventory, samples, key documents, and production materials, ensuring everything remains readily accessible and production ready.
- Oversee supply chain for shipments and deliveries and route information and materials to the appropriate team members.
- Unpack, organize, and track receipt of influencer gifting; prepare product for shoots and social media integration.
- Track and manage business and sample-related expenses, including budgets, receipts, returns, and reconciliations.
Qualifications
- 7–10+ years of experience supporting a C-suite executive, founder, entrepreneur, or high-profile principal.
- Experience in a fast-moving, founder-led environment strongly preferred; media, fashion, entertainment, luxury, or similar experience is a plus.
- Exceptional judgment, maturity, discretion, organization, and attention to detail.
- Highly logical and proactive, with the ability to anticipate needs, ask thoughtful questions, and think beyond the immediate task.
- Strong sense of urgency and follow-through; naturally driven to complete work accurately and without unnecessary delay.
- Excellent communication skills with a commitment to providing frequent, proactive updates and closing the loop on every assignment.
- High-functioning under pressure with strong independent problem-solving skills.
- Comfortable balancing executive-level responsibilities with hands-on production, wardrobe, and logistical tasks.
- Strong technical proficiency and troubleshooting skills, including experience across all Apple devices and the Apple ecosystem, Google Workspace, Microsoft Office, and project-management tools.
- Ability to work on-site in Dallas, 9:00 AM–5:00 PM, with occasional evening/weekend flexibility.
- Ability to travel approximately 25–40%..
