What they need
About the Role
We are looking for a smart, organized, and resourceful Executive Assistant to work closely with our Executive Director across a wide range of priorities.
This role is a good fit for someone who likes variety. On any given week, you might help prepare for an important meeting, research a new opportunity, coordinate an event, build a presentation, organize information for a project, communicate with an external stakeholder, or figure out a process that doesn't exist yet.
While strong organization is essential, this is not a narrowly administrative role. We want someone who is curious about how an organization works, comfortable moving between different types of work, and excited to contribute wherever they can be most useful.
We also value independence. Our Executive Director has a busy and varied workload, so the right person will not always receive a detailed set of instructions. You'll need to be comfortable asking good questions, figuring out what you don't know, proposing a path forward, and carrying work through to completion.
This is an excellent opportunity for someone early in their career who wants broad exposure to organizational leadership, real estate, nonprofit work, community development, fundraising, and business operations. We are less concerned with years of executive assistant experience than we are with finding someone who learns quickly, exercises good judgment, communicates well, and takes ownership of their work.
One of the first major projects for this position will be supporting an upcoming capital campaign. You will work closely with the Campaign Director to coordinate donor meetings, visits, and events; prepare donor briefs, agendas, talking points, and meeting materials; track commitments and follow-up; maintain campaign records, contact lists, pledge documentation, and deadlines; and help coordinate cultivation events, committee meetings, donor dinners, and presentations. This will require both strong organization and good judgment. You'll help make sure the Executive Director walks into important conversations prepared, that commitments and next steps don't fall through the cracks, and that the many people, materials, and logistics involved in the campaign stay coordinated.
Over time, the role will extend well beyond the capital campaign and evolve alongside the Executive Director's priorities and the strengths and interests of the person we hire.
What We're Looking For
The strongest candidates will probably recognize themselves in several of these descriptions:
- You like variety. You enjoy working on different kinds of problems rather than doing the same thing every day.
- You're comfortable figuring things out. An unfamiliar assignment is interesting rather than intimidating, and you know how to research, ask questions, and find your way forward.
- You work independently. Once you understand the goal, you don't need someone to prescribe every step.
- You take ownership. You keep track of what you've committed to, follow through, and notice when something still needs to happen.
- You're curious. You want to understand why something matters, not just what task you've been assigned.
- You're flexible. You're comfortable applying different skills and working with different areas of the organization as priorities change.
- You're organized. You can keep track of details, deadlines, conversations, and competing priorities without losing sight of the bigger picture.
- You communicate well. You can write clearly, interact professionally with a wide range of people, and know when to ask a question or raise an issue.
- You exercise good judgment. You can handle confidential information, recognize when something needs the Executive Director's attention, and make sensible decisions independently.
- You look for ways to be useful. As you learn the organization, we want you to develop your own understanding of where you can contribute and take initiative there.
- You care about the impact of the work. Our work sits at the intersection of affordable housing, real estate development, local government, and community impact. You don't need experience in these areas, but you'll likely enjoy this role if you're interested in how cities grow, how housing gets built, how public and private organizations work together, or how business can be used to address community needs.
Qualifications
That experience could come from internships, jobs, research, student organizations, volunteer work, entrepreneurial projects, event planning, or other experiences. Prior executive assistant, fundraising, real estate, or nonprofit experience is welcome but not required.
- Bachelor's degree or equivalent experience.
- Strong written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Proficiency with Microsoft Office and/or Google Workspace and an ability to learn new technology quickly.
- Evidence that you can independently manage projects, responsibilities, or competing priorities.
Who Could Be a Great Fit
This position could be particularly well suited to a recent graduate or early-career professional who hasn't necessarily decided to specialize yet.
You might be someone who enjoys writing but also likes spreadsheets; who is comfortable coordinating an event but equally interested in researching a business question; or who likes working with people but also enjoys putting your head down and independently solving a problem.
Your specific academic background matters less to us than how you approach work. We're looking for someone who is capable, intellectually curious, dependable, and willing to stretch into new areas.
Because you'll work closely with the Executive Director, you'll have unusual visibility into many parts of the organization. As you learn the business and demonstrate your strengths, we expect the role to grow with you. We want someone who will not only become increasingly effective at supporting the Executive Director, but who will also begin to identify opportunities, develop areas of expertise, and forge their own path within the organization.
Pay: $65,000.00 - $80,000.00 per year
Benefits:
- Flexible schedule
- Paid time off
