The Role
We are seeking a highly organized, resourceful and proactive
Executive
Assistant
to support the President of the company. This is a pivotal position overseeing the day-to-day operations of the Los Angeles and New York offices. The role will manage the President's office, working closely with the senior leadership team to ensure systems and processes run smoothly. The ideal candidate is diligently organized, has exceptional communication skills, great attention to detail, and is a self-starter, team player, and problem-solver with the ability to stay several steps ahead in a fast-moving environment. This role will have access to top-level communications, so confidentiality is essential. While an interest in the entertainment and media landscape is a plus, this role is first and foremost a heavy administrative and operations-oriented position.
What You'll Do
Manage the President's extremely active, ever-changing calendar, including internal meetings, client calls, industry events, and travel.
Prioritize and coordinate scheduling and administrative requests while anticipating needs and resolving scheduling conflicts and last-minute changes.
Coordinate day-to-day operations for the Los Angeles and New York offices, ensuring employee needs are being met and resolving any facilities issues in a timely manner.
Prepare expense reports, coordinate office supply orders, vendor requests, and maintain organized administrative systems.
Complete research projects on an as-needed basis.
Maintain accurate records and ensure consistent follow-through on administrative tasks.
Occasionally provide on-site support at red carpet premieres, press junkets, screenings, and panel discussions, assisting other team members with event logistics and client needs. Event support is secondary to the role's core administrative and operations responsibilities.
What We're Looking For
- 3+ years of experience in an
executive
support role, ideally within entertainment, media, PR or a related creative industry.
Exceptional writing, communication and interpersonal skills.
Highly organized with strong attention to detail and the ability to manage competing priorities under tight deadlines.
Professional judgment, discretion, and emotional intelligence.
Proficiency with Google Workspace, Microsoft 365, and Mac computers. Experience with Canva and project management tools is a plus.
A proactive mindset with the ability to anticipate needs, work independently, recognize when to escalate issues, and adapt quickly to changing priorities.
The Details
This role reports to the President (based in LA). It is based in our Los Angeles office in the Fairfax District, with four days per week in office and some flexibility.
We offer highly competitive compensation with an annual merit-based bonus, plus 100% employer-paid medical, dental and vision coverage, and paid vacation and holidays.
