This role serves as a trusted gatekeeper and organizational hub, managing complex calendars, travel, correspondence, and meeting logistics with discretion, professionalism, and sound judgment. The ideal candidate anticipates needs before they arise, thrives in a fast-paced environment, and represents the CEO's office with polish and integrity.

  • Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
  • Prepare, proofread, and manage correspondence, presentations, reports, and other executive communications.

Meeting & Board Coordination

  • Plan and coordinate logistics for executive and ELT meetings, offsites, and board meetings, including scheduling, room/AV setup, catering, and materials preparation.
  • Prepare agendas, compile briefing materials, and take/distribute minutes or action items as requested.
  • Track follow-up items and deadlines on behalf of the CEO and ELT, following up with stakeholders to ensure timely completion.
  • Limited travel may be required.

Cross-Functional & ELT Support

  • Serve as a point of contact and liaison between the CEO's office, ELT members, board members, investors, clients, and other key stakeholders.
  • Coordinate scheduling and logistics across multiple executives' calendars, balancing competing priorities with tact and diplomacy.
  • Support ELT with expense reporting, document preparation, and other administrative needs as they arise.

Office & Project Administration

  • Manage files, records, and sensitive information with the highest level of discretion and unwavering confidentiality.
  • Process expense reports, invoices, and vendor coordination related to the executive office.
  • Support special projects and initiatives led by the CEO and ELT, conducting research and compiling information as needed.
  • Continuously identify opportunities to improve administrative processes and office efficiency.
  • Proactively anticipates needs and resolves issues before they escalate.
  • Builds trust and rapport with executives, staff, and external partners alike.
  • Delivers polished, error-free work consistently.
  • Other responsibilities as needed.
