What they need
Meet your future team
Join the Secretarial Services team, reporting to the LoS Secretarial Services Team Leader and providing dedicated administrative support to Partners and Managing Directors. You will coordinate closely with firm leaders, colleagues, clients, and specialist teams to ensure priorities, communications, and day-to-day activities run smoothly.
What your role will look like
As an experienced administrative professional, you will enable Partners and Managing Directors to focus on business and client priorities by anticipating needs, coordinating complex activities, and maintaining clear communication with internal and external stakeholders.
- Act as a trusted point of contact between Partners and Managing Directors, firm colleagues, clients, and other stakeholders, ensuring requests are handled professionally and efficiently.
- Manage complex agendas proactively by resolving scheduling conflicts, following up on commitments, and preparing leaders for upcoming meetings and events.
- Coordinate meetings from planning through follow-up, including scheduling, facilities and catering arrangements, agendas, minutes, and agreed actions.
- Manage inboxes when requested by identifying priority messages, organising correspondence, supporting coverage during absences, and drafting replies based on agreed instructions.
- Organise travel and accommodation, including flights, hotels, visa coordination, and trip schedules, while liaising with the Travel team on complex requests.
- Complete administrative processes on behalf of Partners and Managing Directors, including expense reports, TRAF requests, training registrations, e-signatures, mail, and telephone coordination.
- Maintain accurate stakeholder and client information by creating, updating, and removing contacts in Salesforce.
Your growth and opportunities
Deepen your expertise in executive support while gaining direct exposure to senior leaders, client interactions, and business priorities across the firm. Progressively take ownership of more complex coordination activities and strengthen your capabilities in stakeholder management, judgement, and operational delivery. This reflects the guidance to show growth through increased responsibility, exposure, and scope rather than generic career claims.
The skills you bring
- A BTS degree or an equivalent qualification.
- At least two years of experience in an executive assistant, personal assistant, secretarial services, or comparable administrative role.
- Experience delivering high-quality customer service and maintaining effective relationships with internal and external stakeholders.
- Proficiency in Microsoft 365, combined with the ability to work independently with relevant administrative and collaboration tools.
- Fluency in German and English
Ways of working
- You anticipate stakeholder needs, take ownership of requests, and follow through on agreed actions to deliver a reliable service.
- You collaborate effectively across teams, build trusted relationships, and adapt your communication to different internal and external stakeholders.
- You assess priorities, make practical decisions, and adjust your approach when agendas, requests, or business needs change.
- You act with integrity, handle confidential information with care, and uphold high ethical standards in every situation.
Additional skills that would support your success
- A relevant certification in executive assistance, secretarial services, administration, or customer service.
- French language skills.
- The skills listed reflect what matters most to succeed in this role. If your experience aligns with them, even if your path looks different, we encourage you to apply and start the conversation with us.
Take your next step
