This is a unique opportunity for an experienced professional who enjoys wearing multiple hats, works well independently, and can anticipate needs rather than waiting for direction.
The ideal candidate will have a strong administrative skill set along with hands-on Human Resources experience, particularly in recruitment, onboarding, employee relations, and general HR operations.
This is a full-time, onsite position and requires occasional evening availability for virtual Board and committee meetings.
What You'll Do
In this role, you will serve as a trusted administrative partner to the CEO while also supporting the organization's Human Resources operations. Responsibilities will include:
- Provide day-to-day executive and administrative support to the CEO, including scheduling, correspondence, meeting preparation, follow-up, and special projects.
- Coordinate and prepare for Board of Directors, committee, leadership, and organizational meetings.
- Attend virtual Board and committee meetings, including occasional evening meetings, and prepare accurate and timely meeting minutes.
- Track action items, deadlines, and follow-up activities resulting from meetings.
- Assist with organizational marketing, community outreach, events, communications, and special initiatives.
- Coordinate travel, errands, purchasing, mailings, meeting materials, and other administrative needs.
- Support recruitment activities, including job postings, applicant screening, interview coordination, and candidate communication.
- Coordinate new-hire onboarding, pre-employment requirements, documentation, orientation, and employee setup.
- Assist with provider credentialing and recredentialing and maintain required documentation.
- Maintain confidential employee records and assist with HRIS updates and employment-related changes.
- Serve as a resource for routine employee and manager HR questions regarding established policies and procedures.
- Assist with employee relations matters, documentation, benefits, leave administration, performance management, and other HR functions as needed.
- Coordinate with vendors, benefit providers, credentialing partners, IT, and other external partners.
- Handle confidential employee, executive, and organizational information with discretion.
- Take ownership of assignments and special projects with minimal supervision.
What We're Looking For
We're looking for someone who is proactive, dependable, organized, and comfortable taking initiative. This position is best suited for someone who can recognize what needs to be done, determine the next steps, and follow through without requiring constant direction.
The ideal candidate will have:
- A minimum of 3 years of progressively responsible Human Resources, executive administrative, or related professional experience, with hands-on Human Resources experience strongly preferred.
- Experience with recruitment, onboarding, employee records, HRIS systems, and general HR operations.
- Healthcare HR experience and/or experience with provider credentialing strongly preferred.
- Experience supporting employee relations matters preferred.
- Excellent organizational and time-management skills with the ability to manage competing priorities and deadlines.
- Strong note-taking skills and experience preparing professional meeting minutes.
- Excellent written and verbal communication skills.
- Strong judgment, discretion, and the ability to maintain confidentiality.
- The ability to work independently, solve problems, and follow assignments through to completion.
- Strong attention to detail and follow-up.
- Proficiency with Microsoft Office and the ability to learn new systems quickly.
- A professional, flexible, and collaborative approach when working with executives, employees, providers, Board members, vendors, and community partners.
- Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field preferred; equivalent relevant professional experience will be considered.
