Multiple Executive Assistant Opportunities

GIICA is seeking proactive and highly organised Executive Assistants to support key executive leaders as we deliver the infrastructure legacy of the Brisbane 2032 Olympic and Paralympic Games.

We are currently recruiting for:

  • Executive Assistant – Delivery
  • Executive Assistant – Commercial
  • Executive Assistant – People & Culture

The Executive Assistant – Commercial and Executive Assistant – People & Culture positions share a common position description, with responsibilities tailored to the function supported. The Executive Assistant – Delivery role has a dedicated position description reflecting the specific requirements of supporting GIICA’s Delivery function.

Candidates are encouraged to specify in their cover letter which role or roles they wish to be considered for.

About the opportunities

These roles provide high-level executive, administrative and coordination support to an Executive General Manager and their broader function within GIICA.

Working in a fast-paced and dynamic environment, you will act as a trusted partner, managing priorities, coordinating information flow, supporting governance processes and enabling senior leaders to make timely and effective decisions. Responsibilities span diary and inbox management, executive correspondence and briefings, stakeholder engagement, meeting coordination, governance support and action tracking.

Executive Assistant – Delivery

The Executive Assistant – Delivery will provide dedicated support to the Executive General Manager – Delivery and play a key role in supporting the planning, coordination and delivery of the venues and infrastructure program that will help shape Queensland's Brisbane 2032 legacy.

Working in a complex project delivery environment, you will support the coordination of executive priorities across a diverse portfolio of projects, stakeholders and governance forums. You will help ensure information is flowing efficiently between project teams, consultants, delivery partners, executives and government stakeholders, while maintaining visibility of key actions, risks, milestones and decisions.

In addition to providing exceptional executive support, you will contribute to governance and reporting activities, support program and project forums, coordinate briefing materials and executive papers, assist with procurement and contract administration activities, and help track commitments and deliverables across the Delivery function.

This role would suit a highly organised professional who enjoys working in large-scale project or infrastructure environments and thrives on bringing structure, coordination and momentum to complex programs of work. You will be trusted to anticipate needs, manage competing priorities and work effectively with senior leaders and stakeholders across a high-profile delivery portfolio.

This is an office-based position requiring daily onsite attendance. The role is offered for up to six years on a maximum-term basis.

Executive Assistant – Commercial and Executive Assistant – People & Culture

These positions provide executive and business coordination support aligned to the Commercial or People & Culture function.

In addition to core executive support responsibilities, the successful candidates will provide administrative and coordination support for relevant commercial, corporate or people-related initiatives. This may include supporting procurement, contract administration, approvals, reporting, strategic documentation, business priorities and other function-specific activities.

These are office-based positions requiring regular onsite attendance. The roles are offered for up to six years on a maximum-term basis.

About your responsibilities

Across these opportunities, your responsibilities will include:

  • Provide comprehensive executive support to an Executive General Manager, ensuring priorities, deliverables and deadlines are effectively managed.
  • Manage complex diary scheduling, inbox management and workflow prioritisation.
  • Coordinate briefing materials, reports, presentations, governance papers and meeting documentation.
  • Prepare, proofread and quality assure correspondence, presentations and executive papers.
  • Monitor, track and follow up actions, commitments and key deliverables.
  • Manage confidential and sensitive information with professionalism and discretion.
  • Support executive decision-making through effective coordination and information management.
  • Support Board, Executive Leadership Team, governance committee and leadership forum processes, including coordinating papers, reporting cycles and action tracking.

  • Monitor milestones, risks, actions and commitments to support executive oversight and informed decision-making.
  • Contribute to the continuous improvement of administrative systems, processes and workflows.
  • Provide coordination and administrative support aligned to the function supported.
  • Support broader executive functions during periods of leave, peak workload or organisational need.
  • Provide relief and back-up support across executive offices and corporate functions to support continuity of executive services.

The precise focus of these responsibilities will vary depending on whether the position supports the Delivery, Commercial or People & Culture function.

About you

You will bring:

  • Demonstrated experience providing executive-level support within a complex and fast-paced environment.
  • Exceptional organisational skills and the ability to manage competing priorities while maintaining accuracy and attention to detail.
