What they need
Purpose:
The Executive Assistant & Office Manager plays a central role in supporting the effective day-to-day operation of NWEH, connecting leadership, teams, partners, and the workplace to ensure the organisation runs smoothly, remains compliant and well-organised, and continues to grow in a structured and sustainable way.
Working closely with the Commercial team to support new business activity, the postholder will also act as a professional ambassador for NWEH. This is a collaborative and highly visible role suited to someone who thrives in a varied environment, enjoys solving problems, and takes pride in enabling others across the organisation to do their best work.
Responsibilities:
Executive & Leadership Support
You will provide high-level executive support across the full Senior Management Team, ensuring leaders are able to focus on strategic priorities while operational coordination runs smoothly. This includes managing complex and often competing diaries, coordinating meetings across multiple stakeholders, preparing agendas and supporting documentation, and ensuring follow-up actions are tracked and completed.
You will act as a central coordination point for leadership activity, helping to ensure communication flows effectively between teams and that priorities are aligned across the organisation. You will exercise sound judgement when responding to queries, correspondence, and requests, identifying where action can be taken independently and where escalation is required.
Where requested, you will attend internal meetings to capture clear and concise minutes, actions, and decisions. You will also help anticipate upcoming pressures, planning ahead and reprioritising work to accommodate changing organisational needs.
Commercial & Operations Support
Working closely with the Commercial team, you will provide administrative and coordination support that enables business development activity to run smoothly. This may include coordinating client meetings, stakeholder visits, and events, as well as supporting the preparation of proposals, presentations, and supporting documentation as required.
You will help ensure external partners and visitors experience professional, well-organised interactions with NWEH, acting as an ambassador for the organisation. As the organisation grows, you will help maintain administrative systems that support sustainable commercial activity.
Travel & Logistics
You will arrange domestic and international travel (if required), including transport, accommodation, and organising itineraries to ensure seamless travel plans whilst ensuring all costs are managed efficiently and cost-effectively.
Office Management
You will take ownership of the day-to-day management of the office environment, ensuring it remains safe, organised, well-resourced, and welcoming. This includes coordinating office supplies, maintenance and repairs.
As a front-of-house presence for NWEH, you will help create a professional and positive experience for visitors, partners, and stakeholders.
