Executive Assistant, Operations and AI Workflows - Remote (Peru)

Zeno Worlds is an outsourcing company placing skilled, AI fluent talent with American businesses. We are hiring an Executive Assistant to support a US business owner who runs a Meta advertising business and an events business. You will take the daily admin, communication, and technical work off his plate, and you will turn manual work into faster processes with AI. If you work things out on your own, speak up early, and enjoy solving new problems every day, we want to meet you.

What You'll Do

• Handle small technical tasks across two businesses, such as account setups, forms, integrations, and basic website updates
• Take manual workflows, design a faster process, and build the new process with AI and automation tools
• Use Claude and other AI tools every day to research, draft, summarize, build, and automate
• Manage WhatsApp, email, and Slack communication with the business owner and his team
• Make phone calls to vendors, venues, and partners for the events business
• Brief outside contractors, such as web developers and designers, and follow up until the work is done right
• Update contacts, pipelines, forms, and workflows in GoHighLevel
• Track deadlines with the business owner and keep projects on schedule
• Flag blockers early and bring a proposed solution with every question
• Send a daily update on completed work, open items, and questions

Who We're Looking For

• Advanced English (C1 or above), non-negotiable.
• A problem solver. When the goal is clear and the steps are not, you research, test, and finish the task yourself.
• Hands-on experience using AI to get work done, beyond asking a chatbot questions
• Tech savvy. You learn new platforms fast, often with no formal training.
• Experience in administrative, virtual assistant, executive assistant, or operations support roles. Junior candidates with strong skills are welcome.
• You follow a set process exactly, and you suggest improvements when a process is slow.
• You speak up when stuck, after trying first, instead of losing hours on a task.
• Comfortable switching between tasks and businesses in one day
• Own computer in good working condition and a stable, fast internet connection at home
• Full time availability, Monday to Friday, 9:00 AM to 5:30 PM EST
• Interest in a long term role

Nice to Have

• Experience building AI agents, automations, or small systems with Claude, Zapier, Make, or similar tools
• GoHighLevel experience, including workflows, forms, or funnels
• Website tools such as WordPress, Wix, Webflow, or AI site builders
• Experience hiring or managing freelancers on platforms such as Upwork or Fiverr
• Event planning or event coordination experience
• Meta Ads Manager or Meta Business Suite experience
• Experience supporting US based companies remotely
