What they need
We’re looking for an Executive Assistant to support our Client’s VP of Brand & Creative. This is a high-impact role where you’ll be the right hand to a senior leader driving the global evolution of our client’s brand. The pace is fast, the work is dynamic, and the expectations are high—you’ll help make sure the important things land, the small details aren’t missed, and the big picture keeps moving forward.
This is not a traditional administrative role—it’s about being a trusted partner. You’ll help create space for creative and strategic thinking by making sure logistics, communication, and organization are handled with excellence. You’ll be plugged into the heartbeat of the brand and creative team, and you’ll have visibility across our client’s marketing leadership.
We are open to candidates who are US-based and open to a hybrid role with periodic in-office collaboration.
Role & Responsibilities
- Heavy calendar management — balance internal, cross-functional, external, and personal commitments for the VP of Brand & Creative
- Anticipate needs proactively; ensure deadlines, meetings, and follow-ups are handled without prompting
- Manage communication flow — draft, filter, and prioritize emails, Slack messages, and correspondence with discretion; able to write in the voice of leadership
- Prep materials, capture takeaways, track action items, and keep projects moving
- Plan and coordinate ~4 team off-sites per year (may occur globally)
- Attend and support leadership meetings and key company events (e.g., XLT meeting in San Francisco)
- Coordinate travel, logistics, and expenses with precision
- Protect the VP's focus time by balancing accessibility with deep work
- Support team culture — recognition moments, team meetings, and org-wide coordination
- Covering an employee on leave with no handoff period — must ramp up independently
- Supporting a leader who is new to the company; will help establish structure and processes
Requirements
Must-Haves:
- 5–7+ years supporting senior executives in fast-moving organizations; creative, marketing, or tech background a plus
- Heavy calendar management expertise
- Clear, professional, and adaptable communication skills; able to write in the voice of leadership
- Highly detail-oriented with strong organizational skills; able to prioritize ruthlessly
- Sound judgment — discretion with sensitive information and confidence in decision-making
- Calm under pressure, anticipatory, solutions-oriented, and trust-building by nature
- Tech-savvy: proficient in Google Workspace, Slack, expense systems, and scheduling tools ; open to adopting new tools
- Able to work independently with minimal direction; comfortable operating without a handoff
- Professional, friendly, and collaborative
- Comfortable with periodic travel
Nice-to-Haves:
- Background in creative, marketing, or tech environments
- Experience helping onboard or establish structure for a new executive
