About this role | Mō tēnei tūranga

We're looking for two highly organised and trusted Executive Assistant/Project Coordinators. One of which will provide one on one support to our Hautū, Te Poutāhū | Deputy Secretary, and the other to two General Managers, in our Curriculum Group. These roles will also provide backup project coordination services to the large Curriculum Programme of work.

You'll manage dynamic schedules, oversee confidential administrative tasks, and ensure the Hautū and our General Managers are equipped to lead their business groups effectively.

You'll join a connected, collaborative and supportive team where the work is varied and fast-paced, with regular engagement across the Ministry, Ministers offices and external partners.

You'll think two steps ahead to make sure all the little details are taken care of. This includes.

  • owning a changing and often complex diaries
  • overseeing and proactively managing busy inboxes
  • triaging requests to ensure urgent matters are actioned and others are delegated appropriately
  • preparing meeting packs and coordinating papers
  • sharing your knowledge through peer mentoring opportunities.

Your trustworthy, proactive support, and strong judgement will be critical to the smooth running of our business units and in enabling our Hautū to focus on strategic leadership.

This is a fulltime office-based position in Wellington, with some degree of flexibility after an initial establishment period in the role.

Salary range: $85,225 - $103,071 per annum + KiwiSaver. The successful candidate will be appointed at a salary which reflects individual skills and experience.
