What they need
Position Overview
We are seeking a highly organised, proactive, and people-oriented individual to join our small team.
This is a broad-based role supporting the music academy's programmes, operations, events, and administration. The successful candidate will work closely with students, parents, teachers, volunteers, and external stakeholders to ensure the smooth running of lessons, performances, concerts, and academy activities.
As we serve children with special needs and their families, we are looking for someone who is warm, patient, and enjoys working with people from diverse backgrounds. The role requires strong organisational, communication, and coordination skills, as well as the ability to work independently, exercise sound judgment, and maintain confidentiality.
Key Responsibilities
Coordinate day-to-day academy operations, including scheduling, programmes, rehearsals, concerts, and performances.
Serve as a key contact for students, parents, teachers, volunteers, and external stakeholders.
Support the planning and execution of events, performances, workshops, and outreach activities.
Maintain accurate records, databases, schedules, and administrative files.
Manage email correspondence, enquiries, and general administrative matters.
Liaise with stakeholders and support community engagement initiatives.
Assist with expenditure planning and claims processing.
Provide cross-coverage of other administrative or project-related duties as required.
Requirements
The ideal candidate should possess:
A Diploma or Degree in a relevant field.
Relevant experience in administration, operations, programme coordination, education, events, or a similar role.
Strong organisational, interpersonal, and communication skills.
The ability to manage multiple priorities independently and with attention to detail.
A proactive, resourceful, and collaborative working style.
Strong written and spoken English.
The ability to communicate in spoken Chinese to liaise with Chinese-speaking parents. Spoken Korean to liaise with our non-English-speaking Korean music instructors will be an advantage.
Willingness to support evening or weekend rehearsals, performances, concerts, and events when required.
Experience in the arts, education, non-profit, music, or community sectors will be an advantage. Candidates with a genuine interest in supporting children with special needs through the arts are particularly encouraged to apply.
Candidates whose experience is limited to clerical duties or basic administrative support may not find this role suitable.
We are a dedicated charity organization committed to making a difference in the lives of children with special needs through music education. Our mission is to provide support, resources, and advocacy to ensure every child receives the care and opportunities they deserve.
Join us in our meaningful work and become a part of our compassionate and driven team.
