With a proven track record of successful acquisitions and a growing base of sophisticated investors, we are at an exciting inflection point. Our team is led by experienced principals with a deep network and a clear vision for the future. We are seeking a highly motivated and organized Executive Coordinator to join our entrepreneurial team and play a key role in our continued growth.
This is a key role to be the right hand person to Adam J. Tiktin, Founder & CEO. It is an exciting opportunity to be at the center of a thriving investment firm, with direct exposure to deal-making, investor relations, and the strategic direction of our business.
Position Summary:
The Executive Coordinator will be a cornerstone of our team, ensuring seamless operations and providing critical support to the firm’s Founder. The ideal candidate is a motivated, ambitious, focused, intelligent, proactive, detail-oriented professional with a passion for organization and the ability to manage multiple priorities in a fast-paced environment. You will be responsible for a blend of executive support, investor relations coordination, and firm administration, acting as a key liaison between the Founder, our investors, and our external partners.
Key Responsibilities:
Executive & Team Support:
- Provide comprehensive administrative support to the Founder, including strategic calendar management, email correspondence, and travel coordination.
- Act as the primary point of contact for the Founder, handling inbound communication with professionalism and discretion.
- Schedule and coordinate internal and external meetings, including preparing agendas, materials, and ensuring all logistical details are handled.
- Organize and maintain the firm’s digital and physical filing systems, ensuring all documentation is easily accessible and secure (primarily using Google Drive).
Transaction & Investor Relations Support:
- Maintain and update the firm's deal pipeline and transaction tracker, ensuring all information is accurate and up-to-date.
- Assist in the preparation of investor materials, including investor kits, update reports, and presentations.
- Manage the execution of key deal documents, including engagement letters, confidentiality agreements, and purchase and sale agreements.
- Serve as a secondary point of contact for investor inquiries, providing timely and professional responses.
- Administer the firm’s Customer Relationship Management (CRM) system, ensuring all investor and partner data is accurately maintained.
Firm Operations & Administration:
- Oversee the general organization and smooth functioning of the office.
- Manage relationships with key vendors and service providers, including IT support.
- Order and maintain office supplies and ensure all office equipment is functional.
- Coordinate mail and deliveries.
Qualifications & Attributes:
- 3-5+ years of experience in a high-level commercial real estate, title, legal, executive assistant, or coordinator role. Experience in real estate, finance, title, legal, or a professional services firm is highly preferred but not required.
- Exceptional organizational and time-management skills, with the ability to manage multiple competing priorities without sacrificing attention to detail.
- A high degree of professionalism and integrity, with the ability to handle confidential information with discretion.
- A proactive, resourceful, and self-motivated mindset that demonstrates accountability and a commitment to delivering results. You are a problem-solver who anticipates needs and takes initiative.
- High level of proficiency with the Google Suite (Gmail, Calendar, Drive) and Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with CRM software is highly desirable.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to work effectively with a small, collaborative team.
