About Rally

Rally Foundation for Childhood Cancer Research (Rally) is a 501(c)(3) nonprofit that empowers volunteers to raise awareness and funds for childhood cancer research to find better treatments with fewer long-term side effects and, ultimately, cures.

Rally is:

  • Mission-driven and dedicated to investing in the best childhood cancer research
  • A grassroots organization built on accountability and powered by volunteers
  • A fast-paced, learning-focused environment
  • A close-knit team with an “all hands-on deck” attitude
  • Open to innovation and new ideas
  • Committed to working hard and having fun while making a difference

The opportunity: We are seeking a full-time Executive Operations Manager to serve as the operational right hand to our Founder & CEO and our Vice President of Development. This is a long-term, high-trust partnership for someone who wants to grow with Rally and keep our leaders, team, and office running at their best.

Position Summary

The Executive Operations Manager connects Rally’s leadership, departments, and office through three core functions:

  • Executive Support: owning calendars, communications, scheduling, travel, and administrative priorities for the Founder & CEO and the Vice President of Development.
  • Organizational Coordination: connecting development, events, marketing, and other departments so information flows and projects keep moving.
  • Office Operations: overseeing Rally’s day-to-day office, including supplies, visitors, systems, and facility needs.

This highly visible role calls for someone who anticipates needs, follows through without reminders, and brings calm order to a fast-moving environment. The ideal candidate exercises sound judgment, maintains strict confidentiality, and builds trusted relationships with staff, donors, and partners.

Key Responsibilities

Executive Support

  • Own both executives’ calendars: schedule meetings, resolve conflicts, protect focus time, and keep them prepared for what’s next.
  • Manage executive communications, including inbox triage, drafting correspondence, and follow-up.
  • Coordinate executive travel end to end, including flights, hotels, ground transportation, dining, and detailed itineraries.
  • Track action items and administrative priorities so deadlines are met and nothing falls through the cracks.
  • Prepare briefing materials, presentations, reports, and agendas, and distribute follow-ups.
  • Support donor and partner stewardship, including acknowledgments and appreciation gifts.
  • Reconcile and submit executive expense reports accurately and on time.
  • Handle sensitive organizational, personnel, donor, and Board information with complete discretion.

Organizational Coordination

  • Serve as the central connector between development, events, marketing, and other departments.
  • Turn leadership priorities into clear next steps, owners, and timelines, and follow up to keep work on track.
  • Coordinate leadership and staff meetings, including agendas, materials, notes, and action items.
  • Manage review workflows in Monday.com and other project management tools.
  • Review marketing, fundraising, and organizational communications for accuracy and brand consistency.
  • Assist with management of the Founder & CEO’s LinkedIn presence.
  • Identify bottlenecks and recommend improvements to systems and processes.

Office Operations

  • Oversee daily office operations so the office runs smoothly.
  • Maintain office supplies, equipment, mail, and packages.
  • Host visitors, donors, and partners, and coordinate hospitality for on-site meetings.
  • Administer office systems, records, and data integrity across platforms.
  • Oversee PTO and vacation tracking.
  • Coordinate employee recognition, celebrations, and engagement activities that strengthen Rally’s culture.

Qualifications

Required

  • Three or more years supporting C-suite executives, founders, or senior leaders as an Executive Assistant, Executive Administrator, Office Manager, or similar role.
  • A track record of long-term, trusted partnerships with the leaders you support.
  • Proven ability to manage competing priorities for more than one executive with exceptional attention to detail.
  • Experience coordinating projects across multiple teams or departments.
  • Outstanding written and verbal communication skills.
  • A high level of discretion with confidential information.
  • Advanced proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
  • CRM experience.

Preferred

  • Salesforce or comparable CRM experience preferred; Monday.com or comparable tools a plus.
  • Bachelor’s degree or equivalent experience.
