Job Description: Executive, Operations - Business Relations

Key Responsibilities

1. Tenant Relations

• Act as the primary liaison between tenants and mall management.
• Build and maintain strong relationships with tenants while addressing enquiries, feedback, and operational issues.
• Conduct regular store visits and tenant engagement sessions to foster positive tenant relationships.

2. Sales Monitoring

• Monitor and analyse tenants' sales performance.
• Prepare periodic sales reports and identify sales trends, opportunities, and concerns.
• Follow up with tenants on business performance and improvement plans.

3. Marketing & Promotions

• Coordinate tenants' participation in mall marketing campaigns, events, and promotional activities.
• Ensure compliance with promotional guidelines and visual merchandising standards.
• Support the planning and execution of mall-wide marketing initiatives.

4. Operational & Administrative Coordination

• Prepare, process, and maintain tenancy-related documentation, including agreements, notices, correspondence, and supporting records.
• Coordinate the administration of billboard, storage, and promotion space licences, including new applications, renewals, terminations, and related documentation.
• Manage the end-to-end administration of promotion space bookings, including site inspections, work permit applications, deposit collection, and coordination with relevant internal departments.
• Coordinate store openings, renovations, relocations, reinstatements, handovers, and store closures to ensure smooth execution.
• Conduct routine store inspections to ensure compliance with mall operational standards, safety requirements, and tenancy obligations.
• Liaise with internal departments to facilitate the timely resolution of tenants' operational and business-related matters.
• Perform any other duties, assignments, or projects as directed by the Head of Department or Management from time to time.

5. Reporting & Compliance

• Prepare reports on sales performance, marketing campaigns and tenant activities.
• Monitor market trends and competitor activities
• Ensure tenants comply with mall policies, operational procedures, and brand presentation standards.

Job Requirements

• Candidates with 2–3 years of relevant working experience in retail, customer service, shopping mall management, or property management will have an added advantage.
• Fresh graduates and individuals who are keen to learn, adaptable, and looking to transition into the retail or shopping mall industry are encouraged to apply.
• Good communication and interpersonal skills with the ability to build positive working relationships.
• Basic analytical and organisational skills with attention to detail.
• Proficient in Microsoft Office applications, particularly Microsoft Excel, Word, and PowerPoint.
• Able to work independently with minimal supervision while contributing effectively as part of a team.
• Proactive, responsible, and willing to learn in a fast-paced retail environment.
• Willing to work on weekends and public holidays when required to support mall events and operational needs.
