EXECUTIVE PARTNERSHIP PROGRAMMES, ASEAN AI SAFE

ROLE OVERVIEW:

The Ministry of Digital has established a Joint Taskforce to oversee the establishment of an ASEAN AI Safety Network, which will be hosted in Malaysia. The Malaysia Centre4IR under MyDIGITAL Corporation has been appointed a member of this Joint Taskforce, consisting of a Principal Committee (JK Induk) and three (3) Working Sub-Committees (JK Kerja): Negotiations, Partnership Programmes, and Finances & Administration. In this regard, we are seeking a dedicated individual to join our team as Executive - Partnership Programmes, ASEAN AI Safety Network for a period of six (6) months.

Reporting to the Manager - Strategic Partnerships at Malaysia Centre4IR, the Executive will primarily support cultivating, structuring, reporting and tracking bilateral/multilateral partnership programmes with ASEAN Dialogue and Development Partners, as well as international organisations and industry leaders. The role will also provide cross-functional support to the wider Joint Taskforce in ensuring the smooth operationalisation of ASEAN AI Safe.

KEY RESPONSIBILITIES:

1. Partnerships Programme Management

• Coordinate and support the interim design, implementation, and monitoring of partnership programmes with ASEAN Dialogue and Development Partners, international organisations, and industry stakeholders.
• Manage stakeholder engagement processes, including Expressions of Interest (EoI) and correspondence with partners, ASEAN Member States (AMS) and the ASEAN Secretariat.
• Lead the preparation, refinement, and submission of partnership proposals in coordination with the ASEAN Secretariat and funding entities.
• Monitor programme workplans, budgets and funding disbursement to ensure alignment with the reporting requirements of the ASEAN Digital Sector (ADGMIN/ADGSOM/WG-AI).
• Draft progress updates, intervention notes, and presentation materials for ASEAN-level meetings.

2. Knowledge Management & Logistical Coordination

• Maintain a consolidated database of partners, AMS focal points, and key documents pertaining to partnership activities and the operationalisation process of the Network.
• Support logistical / administrative arrangements for partnership activities  and other external travel undertaken by the sub-committee and taskforce members, e.g. ASEAN meetings and bilateral/multilateral engagements.

3. Cross-Functional and Operational Support

• Provide administrative and operational assistance to the wider taskforce   in tracking timelines, AMS feedback, and circulation of legal instruments, especially where it directly impacts partnership activities.
• Support requests for input, briefing notes, and meeting summaries ahead of updates to the Principal Committee and ASEAN counterparts.
• Perform other relevant tasks as assigned by the sub-committee or taskforce chair.

QUALIFICATIONS, SKILLS & KNOWLEDGE

1. Bachelor’s or Master’s Degree in International Relations, Public Policy, Political Science, Business Administration, Communications, or a related field.
2. At least 3-5 years of experience in strategic partnerships and stakeholder relations, international development, policy coordination, or project management.
3. Strong interest in issues related to AI safety, digital economy policy, and ASEAN affairs.
4. High proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace.
5. Excellent written and verbal communication skills in both English and Bahasa Malaysia.
6. Excellent interpersonal and organisational skills, proactive attitude, and an ability to work collaboratively in a team environment.

TERM PERIOD

Six (6) months Contract for Service (CFS) – renewal is not automatic and will be based on organisational needs.
