Executive – Purchase & Procurement

Procurement & Coordination

• • Procure raw materials required for Construction Chemicals.
  • Ensure timely availability of materials as per requirements.
  • Coordinate with Production, R&D, Quality Control, and Stores departments to understand material requirements.

Vendor Management & Development

• • Identify, evaluate, and develop new suppliers and vendors for raw materials and packaging materials.
  • Maintain strong relationships with existing suppliers to ensure competitive pricing and reliable supply.
  • Evaluate vendors based on product quality, price, delivery timelines, payment terms, and service.
  • Maintain an updated vendor database and supplier documentation.

Price Negotiation & Cost Optimization

• • Obtain quotations from multiple suppliers and prepare comparative statements.
  • Negotiate prices, payment terms, credit periods, transportation costs, and delivery schedules.
  • Identify cost-saving opportunities while maintaining required quality standards.
  • Monitor market trends and changes in raw material prices to support purchasing decisions.

Purchase Order Management

• • Prepare and issue purchase orders after obtaining the required approvals.
  • Ensure purchase orders contain correct specifications, quantities, rates, taxes, payment terms, and delivery schedules.
  • Follow up with suppliers for order confirmation and timely delivery.
  • Track pending purchase orders and maintain proper procurement records.

Quality & Technical Coordination

• • Coordinate with Quality Control and R&D teams to ensure purchased materials meet approved specifications.
  • Obtain Technical Data Sheets (TDS), Safety Data Sheets (SDS/MSDS), Certificates of Analysis (COA), and other required documents from suppliers.
  • Follow up on rejected, damaged, or non-conforming materials and coordinate replacement or corrective action.
  • Ensure materials are sourced from approved vendors and meet applicable quality and safety requirements.

Delivery & Logistics Coordination

• • Track material dispatches and ensure timely delivery to the factory or warehouse.
  • Coordinate with suppliers and transporters regarding shipment schedules.
  • Resolve issues related to delayed deliveries, shortages, transportation, and damaged materials.
  • Verify delivery documents and coordinate with the Stores team for material receipt.

Documentation & Reporting

• • Maintain purchase orders, supplier quotations, comparative statements, invoices, delivery challans, and other procurement records.
  • Coordinate with Finance and Accounts for invoice verification, payment follow-ups, and vendor reconciliation.
  • Prepare periodic reports on procurement costs, pending orders, supplier performance, and cost savings.
  • Ensure accurate documentation and compliance with company procurement policies.

Cross-Functional Coordination

• • Work closely with Production, Planning, Stores, Quality Control, R&D, Finance, and Logistics teams.
  • Understand urgent material requirements and prioritize purchases accordingly.
  • Support production planning by ensuring the availability of critical raw materials.
  • Participate in procurement review meetings and recommend improvements to purchasing processes.
