What they need
Help patients feel cared for—and understand why their oral health matters.
At SmileWell Dental, we believe dentistry should help people live healthier lives. We look beyond individual teeth to understand each patient’s needs, emphasize prevention, and help patients make informed decisions about their care.
We’re a small, privately owned practice looking for an experienced dental front office coordinator who connects with that purpose. You’ll often be the first person patients speak with and the person who helps them take the next step—whether that’s making their first appointment, understanding their benefits, or finding a way to move forward with treatment.
About the Role
This is a busy, high-energy position with many moving parts and frequent distractions. You’ll be the primary person responsible for our front office, working closely with Dr. Jeanine Sasek and a clinical team that shares responsibility for a smooth patient experience.
Your main responsibilities will include:
- High-Level Communication: Welcoming patients and handling calls and messages with warmth, professional confidence, and meticulous follow-through.
- Schedule & Flow: Coordinating appointments, keeping the schedule organized to support productive days, and managing smooth transitions between the front desk and the clinical team.
- Financial & Treatment Presentation: Confidently explaining treatment recommendations, fees, insurance estimates, and payment options clearly and respectfully.
- Gatekeeping & De-escalation: Gracefully handling unhappy patient concerns to turn their experience around, while confidently screening out solicitors so the office remains focused on care.
- Accounts & Documentation: Collecting payments, keeping patient financial records highly accurate, and maintaining thorough, clear documentation.
- Retention: Following up on recommended treatment and preventive visits.
Note on Billing: We currently use an outside company for insurance claims. We’re open to keeping that support, bringing those tasks in-house, or adjusting outside support based on your strengths and the practice’s needs.
Schedule: Enjoy a balanced schedule with focused patient care hours and dedicated time for administrative tasks:
- Monday: 8:00 AM – 5:30 PM
- Tuesday & Wednesday: 7:30 AM – 5:30 PM
- Thursday: 7:30 AM – 5:00 PM
- Note: Occasional additional administrative hours as required.
You May Be a Great Fit If You:
- Are an Exceptional Communicator: You possess high emotional intelligence, project genuine warmth, and naturally build confidence with both patients and team members.
- Thrive in the Chaos: You stay calm, focused, and friendly in a fast-paced environment with constant interruptions.
- Are Resilient & Confident: You are highly comfortable discussing large financial plans, handling patient financial objections or rejection gracefully, and navigating tough customer service conversations.
- Are Detail-Oriented with Records: You believe that if it isn't documented thoroughly, it didn't happen.
- Value Teamwork & Synergy: You proactively collaborate and communicate clearly with the clinical team to ensure patient hand-offs are flawless.
- Have Solid Experience: You understand dental scheduling, PPO insurance, and front office workflows.
Technical Requirements & Practice Tech:
- Software Proficiency: Experience with or quick mastery of our core systems: Dentrix, Dexis, Pearl AI, Dental Intelligence, and Mango Voice. (Dentrix experience is strongly preferred).
- Business Tools: Strong typing skills and daily comfort using Microsoft Teams and Microsoft Office (Excel, Outlook, Word). You will also serve as our everyday point of contact for basic software or IT support helpdesks if minor administrative systems need attention.
