What they need

Experienced Reactive Maintenance Coordinator

Salary: £27,000 per annum
Hours: Monday–Friday, 8:30am–4:30pm
Location: Euxton, Chorley – Office Based
Job Type: Full-time, Permanent

About NWI Reactive

NWI Reactive is a busy and rapidly growing reactive maintenance company providing property maintenance services to clients across the UK.

We work across a wide range of sectors, including supported living, residential care, education, commercial property, retail and automotive.

Our team coordinates everything from everyday repairs through to urgent and emergency call-outs, covering multiple trades including plumbing, electrical, heating, drainage, joinery, roofing, glazing, locksmith works, decorating, flooring and general building maintenance.

We're growing quickly, which means we're looking for an experienced Reactive Maintenance Coordinator to join our existing office team.

This is not an entry-level position. We're looking for somebody with at least 2 years' experience working within reactive property maintenance or facilities management who understands the pace of the industry and can hit the ground running.

The Role

You'll be responsible for coordinating reactive maintenance jobs from the moment they arrive through to completion.

A typical day will involve:

  • Receiving new reactive and emergency maintenance jobs from clients
  • Answering incoming calls and dealing confidently with clients and contractors
  • Prioritising jobs based on urgency and client SLA requirements
  • Contacting and instructing subcontractors across multiple trades
  • Obtaining availability, call-out charges and quotations
  • Issuing and managing works instructions and purchase orders
  • Booking and scheduling reactive works
  • Planning diaries and routes for our directly employed operatives
  • Keeping clients updated throughout works
  • Chasing contractors for attendance updates, completion information, photographs and paperwork
  • Dealing with problems, delays and changes as they happen
  • Ensuring jobs are progressed and completed within required timescales
  • Maintaining accurate job records and updating our internal systems
  • Liaising closely with the wider Operations and Commercial teams
  • Assisting with invoicing and job completion administration where required

Who We're Looking For

We specifically want someone who already understands reactive maintenance.

You should be comfortable having multiple live jobs on the go at once and able to quickly switch between an emergency call-out, a client chasing an update, an engineer needing information and another contractor who's decided not to answer their phone!

You'll need:

  • Minimum 2 years' experience within reactive maintenance/facilities management
  • Experience coordinating subcontractors and/or maintenance engineers
  • Strong scheduling, planning and diary-management skills
  • Experience dealing directly with clients
  • Confidence answering and making a high volume of telephone calls
  • Excellent communication skills
  • The confidence to chase people and get answers when needed
  • Good organisation and attention to detail
  • Ability to prioritise urgent works and work under pressure
  • Strong IT skills
  • A proactive attitude – we don't want someone who waits to be told what to do
  • The ability to work independently while being part of a close-knit team
  • You must be a dog person! We have office dogs who are very much part of the working environment, so you need to be genuinely comfortable having dogs around you during the working day.

QuickBooks experience is desirable but not essential.

Experience coordinating multiple maintenance trades would be a significant advantage.

The Team & Working Environment

We're a busy, growing maintenance team, but we're also a relaxed and genuinely fun office.

There is plenty of banter, everyone gets involved and we work closely together, particularly when things get busy.

We're looking for somebody who is confident, outgoing and has a personality. You need to be comfortable joining an established team, having a laugh and giving as good as you get, while still knowing when it's time to get your head down and get the job done.

If you're looking for a silent office where everyone communicates by email from three desks away, this probably isn't the role for you.

If you like a fast-paced environment, enjoy solving problems and want to work with a team where you can actually enjoy coming to work, you'll fit in well.

And yes, there are dogs in the office. They are part of the furniture at this point, so being comfortable around dogs is essential!

Salary & On-Call Payments

£27,000 per annum

As a reactive maintenance business, we provide an out-of-hours service to our clients, so you will be expected to take part in the team's on-call rota.

Additional payments are:

  • £20 for each on call cover period
  • £15 additional payment for every job handled while on call
  • Additional enhanced payment for Bank Holiday on call cover
  • Guaranteed additional annual payments £2000 (based on 2 days on call per week)

Full details of the rota and enhanced Bank Holiday rates will be discussed during interview.

Christmas Shutdown

One of the benefits of the role is that we have an approximately two week Christmas shutdown.

As we provide emergency reactive maintenance throughout the Christmas period, the team shares responsibility for providing on-call cover during the shutdown.

As part of the Christmas rota, you should expect to cover approximately 3 working days and 2 weekend days during the shutdown.

This is on-call cover rather than normal office working, and Bank Holiday cover attracts an additional enhanced payment.

The rota is shared across the team and arranged in advance so everyone knows their Christmas cover.

Benefits & Perks

Alongside your salary and additional on-call earnings, you'll also get:

  • Free use of our on-site gym
  • Free on-site parking
  • On-site farm shop
  • Approximately two-week Christmas shutdown (taken from annual leave entitlement)
  • Additional earning through the on-call rota
  • Enhanced payments for Bank Holiday on-call cover
  • Relaxed, friendly office environment
  • Office dogs
  • No corporate stuffiness – we're a growing business and want people who can be themselves while getting the job done

Working Hours

Monday to Friday, 8:30am–4:30pm

This is a full-time, office-based position in Euxton, Chorley.

What Matters to Us

Experience is important because we need someone who can come in and understand reactive maintenance from day one.

But personality matters too.

We're looking for somebody who is confident, organised, quick-thinking and comfortable speaking to anyone – whether that's a client, subcontractor, engineer or another member of the team.

You'll need to be able to keep your head when several urgent jobs land at once, communicate clearly and take ownership rather than simply passing problems on.

If you've worked in reactive maintenance for at least two years, know your way around coordinating contractors, like dogs, and enjoy working in a busy office with a team that doesn't take itself too seriously, we'd love to hear from you.

Reactive Maintenance / Facilities Management: 1-2 years minimum (required)
