Experienced operation assistant

About the role

The operation assistant will oversee daily coliving operations, manage virtual assistants and ground staff, and make routine decisions currently handled by the founder. The role ensures smooth tenant experience, cost-efficient processes, and reliable vendor coordination — while escalating only strategic or financial matters to the founders.

Key responsibilities

• Handle tenant onboarding, inquiries, and routine disputes
• Ensure service quality and satisfaction
• Lead Virtual Assistants (admin, communication, scheduling)
• Supervise ground staff managing cleaners and hand
• Apply SOPs and decision matrix to resolve operational issues
• Escalate only strategic/financial matters to founders
• Manage cleaning, maintenance, and repair vendors
• Ensure timely service delivery and cost control
• Identify gaps in SOPs and propose refinements
• Support automation initiatives to reduce manual workload

About you

• Proven experience in property management, hospitality, or operations
• Strong organizational and decision-making skills
• Ability to manage remote teams (VAs, ground staff)
• Comfortable with flexible schedules (including weekend coverage with weekday rest)
• Proficiency in communication tools (WhatsApp, Google Workspace, property management software)
• Chinese & English speaking. We are seeking candidates proficient in Chinese to effectively communicate with Chinese-speaking clients.
