Export Documentation Executive

Job Summary

We are looking for an Export Documentation Executive to manage export documentation, shipment coordination, order processing, and customer/distributor communication for international markets.

The role will coordinate closely with customers, distributors, factories, freight forwarders, warehouses, Logistics, Sales, Finance, and Supply Chain teams to ensure accurate documentation and timely execution of export shipments.

Key Responsibilities

• Prepare, review, and coordinate export documents including:
• Commercial Invoices
• Packing Lists
• Certificates of Origin
• Health Certificates
• Shipping Instructions
• Other market-specific export documents
• Coordinate with freight forwarders, shipping lines, warehouses, and logistics partners for shipment execution.
• Monitor shipment bookings, loading, transit, customs clearance, and final delivery.
• Resolve documentation discrepancies to support smooth customs clearance.
• Process and track customer orders through SAP/CRM/EDI systems.
• Create and maintain Sales Orders and Purchase Orders in SAP.
• Coordinate order confirmations, shipment schedules, and delivery timelines with customers/distributors.
• Maintain accurate order, shipment, and customer records.
• Follow up on open orders, backlog, shipment delays, and pending documentation.
• Coordinate with Supply Planning, Demand Planning, Finance, Sales, and Logistics teams.
• Prepare shipment trackers, export reports, and operational updates.

Requirements

• 3–5 years of experience in Export Documentation, Logistics, Order Management, Customer Service, or Supply Chain .
• Experience in FMCG, food, consumer goods, manufacturing, distribution, or export environments preferred.
• Strong knowledge of export documentation and international shipping processes .
• Experience coordinating with freight forwarders and customs-clearance teams.
• Hands-on experience with SAP , preferably SAP SD/MM.
• Good understanding of Sales Orders, Purchase Orders, invoicing, and shipment tracking.
• Experience dealing with international customers/distributors is preferred.
• Strong MS Excel and reporting skills.
• Good communication, coordination, and problem-solving abilities.
