Export Import Staff (Outsource)

Primary Purpose

To ensure the smooth, secure, and cost-effective international movement of goods (raw materials, packaging, and finished pharmaceutical products) while maintaining full compliance with healthcare regulations and customs laws.

Key Responsibilities

• Regulatory & Customs Compliance: Apply for and secure Import/Export Permits (e.g., SKI/SKE from local authorities like BPOM/FDA) for APIs, excipients, and controlled substances. Review quality documents (CoA, MSDS, COO) and verify Import/Export Declarations (PIB/PEB) and HS Code classifications.

• Cold Chain & Temperature Logistics: Coordinate with freight forwarders for temperature-controlled shipping solutions (reefer containers, dry ice, thermal blankets, gel packs) based on product requirements

• Operational Execution & Tracking: Generate and audit trade shipping documents (Commercial Invoices, Packing Lists, B/L, AWB). Monitor shipments in real time and resolve customs holds, quarantine inspections, or damage claims.

• Vendor Management & Cost Control: Negotiate and liaise with freight forwarders, customs brokers, and shipping lines/airlines. Prevent surcharges (demurrage/detention fees) and audit vendor invoices against agreed rates.

• Cross-Functional Collaboration: Partner with Finance, Procurement, and Warehouse teams to provide shipping schedules, duty/tax estimates, and ETA updates to avoid production delays.

Requirements & Qualifications

• Education: Minimum D3 or S1 degree in Transport Management, Supply Chain & Logistics, International Trade, Business Administration, Economics, or Pharmacy.

• Experience: Minimum 1 year in Export-Import, Logistics, or Supply Chain (preferably 1–3 years within pharmaceuticals, chemicals, FMCG, or specialized healthcare freight forwarding). Entry-level candidates with a relevant degree and internship experience are also considered.

• Technical Knowledge:

• Solid understanding of customs clearance (INSW, PIB/PEB) and HS Code classification for chemicals/pharmaceuticals.

• Knowledge of pharmaceutical import/export permits (SKI/SKE from BPOM/FDA) and handling controlled substances/hazardous materials.

• Mastery of core trade documents (Invoices, Packing Lists, B/L, AWB, CoA, COO) and Incoterms.

• Understanding of cold chain logistics standards.

• Skills & Languages: Fluent in English; proficient in MS Office, web applications, and ERP systems.

• Soft Skills: High attention to detail, strong problem-solving abilities, excellent communication and negotiation skills, and efficient time management.

• Willing to be placed in Cikarang Selatan and hired under third party (outsourcing)
