What they need

Virginia Beach Friends School

Part Time 20 hours per Week | Flexible Schedule
Salary: $17,500 annually

Virginia Beach Friends School seeks a dependable, skilled, and proactive Facilities and Maintenance Coordinator to take ownership of the care and operation of our school campus. This is a full-time, hands-on position responsible for keeping our buildings, grounds, vehicles, and equipment safe, functional, attractive, and ready for students and faculty each day.

The ideal candidate is someone who enjoys fixing things, solving problems, working independently, and taking pride in a well-maintained campus. While the Facilities and Maintenance Coordinator works with outside contractors when specialized work is required, this is very much a hands-on position for someone comfortable completing routine maintenance and repairs themselves.

The position averages 20 hours per week with a flexible schedule. While regular presence during the school day is necessary, there is flexibility in how hours are structured around the needs of the campus. Occasional early morning, evening, weekend, or emergency response may be necessary.

Primary Responsibilities:

Campus Maintenance & Daily Readiness

  • Maintain the school’s buildings and grounds in safe, functional, clean, and attractive condition.
  • Regularly walk the campus to proactively identify maintenance, repair, and safety needs before they become larger problems.
  • Respond to maintenance requests from faculty and administration and prioritize work based on urgency and impact on school operations.
  • Perform routine hands-on repairs and maintenance, including basic carpentry, painting, patching, plumbing, furniture repair, door and hardware repair, equipment maintenance, and similar projects.
  • Troubleshoot building and equipment problems and determine when work can be completed internally and when a licensed or specialized contractor is necessary.
  • Maintain school tools, maintenance equipment, and an appropriate inventory of commonly needed repair supplies and replacement parts.

Preventive Maintenance

  • Develop and maintain a practical preventive-maintenance schedule for school buildings and equipment.
  • Coordinate routine servicing of HVAC systems, plumbing, roofs and gutters, fire and life-safety equipment, school vehicles, mechanical equipment, and other building systems.
  • Monitor facilities for signs of water intrusion, deterioration, pest activity, equipment failure, and other developing problems.
  • Maintain organized records of maintenance, repairs, inspections, warranties, and equipment servicing.

Grounds & Exterior Campus

  • Oversee and participate in the maintenance of school grounds and outdoor spaces.
  • Maintain lawns, landscaping, trees, drainage areas, irrigation systems, sidewalks, parking areas, fencing, exterior lighting, playground areas, athletic/play spaces, and artificial turf.
  • Identify and address trip hazards, damaged fencing or gates, playground concerns, drainage problems, and other exterior safety issues.
  • Coordinate specialized landscaping, tree, irrigation, pest-control, or grounds contractors when necessary.
  • Assist with seasonal campus preparation and cleanup.

Safety, Inspections & Compliance

  • Help ensure that the physical campus meets applicable local, state, and federal health and safety requirements.
  • Coordinate required facility inspections and maintain associated records and documentation.
  • Maintain applicable hazardous-material, bloodborne-pathogen, OSHA, AHERA/asbestos, and other required facilities-related records.
  • Monitor playgrounds, walkways, buildings, doors, gates, and other campus areas for potential safety concerns and address or report them promptly.
  • Work closely with school administration on fire safety, emergency preparedness, campus security, and other physical-plant matters.

Vendors & Contractors

  • Identify when outside professional services are needed and coordinate qualified vendors and contractors.
  • Obtain competitive estimates or proposals when appropriate.
  • Schedule and oversee contractor work to minimize disruption to school operations.
  • Monitor contractor work for quality, completion, safety, and adherence to agreed pricing and scope.
  • Maintain relationships with reliable service providers for HVAC, electrical, plumbing, roofing, landscaping, fire protection, pest control, and other specialized needs.

Campus Security & Access

  • Maintain and coordinate keys, locks, doors, gates, and other physical access systems.
  • Assist administration with campus security systems, alarms, exterior lighting, and access-control needs.
  • Promptly address physical security concerns involving doors, windows, locks, gates, fencing, or lighting.

Vehicles & Equipment

  • Oversee routine maintenance and repair of school-owned vehicles and facilities equipment.
  • Ensure vehicles and equipment are maintained in safe operating condition.
  • Maintain appropriate service and inspection records.
  • Safely operate school vehicles and maintenance equipment as necessary.

Weather & Emergency Response

  • Help prepare the campus for hurricanes, tropical storms, freezes, snow/ice, heavy rain, and other significant weather events.
  • Secure outdoor equipment and campus areas as appropriate before severe weather.
  • Assess facilities following significant weather and address or report damage.
  • Respond appropriately to urgent facility problems such as water leaks, HVAC failures, plumbing problems, electrical issues, storm damage, or other situations that could affect the safe operation of the school.

Summer Facilities Work

Summer provides an important opportunity to complete larger projects while students are away. The Facilities Manager will coordinate and perform summer work including:

  • Classroom and building repairs
  • Painting and patching
  • Furniture movement and repair
  • Grounds and exterior projects
  • Preventive maintenance
  • Contractor coordination
  • Building and equipment improvements
  • Preparation of classrooms, buildings, and grounds for the opening of school

Communication & Administration

  • Serve as the primary point person for facilities-related needs across campus.
  • Communicate clearly with faculty and administration regarding maintenance requests, project status, disruptions, and completed work.
  • Work closely with the Head of School regarding significant facility needs, repairs, projects, safety concerns, and expenditures.
  • Assist with development and management of the annual facilities and maintenance budget.
  • Maintain organized records of vendors, contracts, inspections, equipment, maintenance history, and significant repairs.
  • Perform other facilities-related duties as necessary to support the safe and effective operation of the school.

Qualifications

Successful candidates should have:

  • At least two years of experience in facilities maintenance, property maintenance, construction, building trades, or a related field; additional experience is preferred.
  • Strong general maintenance and repair skills.
  • The ability to independently troubleshoot problems and determine appropriate solutions.
  • Experience using common hand and power tools safely.
  • The ability to manage multiple priorities and work independently without constant supervision.
  • Good judgment regarding when a repair can be performed internally and when licensed or specialized contractors are required.
  • Strong communication, organization, and follow-through.
  • Comfort working in an active school environment around children, faculty, families, and visitors.
  • A valid driver’s license and satisfactory driving record.

A high school diploma or equivalent is required. Technical training, trade certifications, or additional education related to facilities, construction, maintenance, HVAC, electrical, plumbing, or other building trades are preferred but not required.

Experience working in a school, childcare facility, church, nonprofit campus, or similar environment is helpful but not required.

Physical Requirements

The Facilities Manager must be able to:

  • Regularly walk throughout a multi-building campus.
  • Bend, stoop, reach, push, pull, climb, kneel, and work from ladders as appropriate.
  • Safely lift and carry materials, tools, equipment, and supplies associated with routine facilities work.
  • Work both indoors and outdoors throughout the year and in varying weather conditions.
  • Safely operate hand tools, power tools, maintenance equipment, and school vehicles.
  • Work around moving equipment, vehicles, mechanical systems, dust, fumes, odors, and other conditions commonly associated with facilities maintenance.

Schedule & Compensation

This is a part-time, 20 hour-per-week position with a flexible schedule structured around the needs of the school and campus.

Salary: $17,500 annually.

Virginia Beach Friends School offers a welcoming school community and a work environment in which the Facilities Manager has significant independence and the opportunity to make a visible difference in the daily experience of students and faculty.
