Assistent Facilities Manager (m/w/d)

Für mehrere Gebäude suchen wir einen Assistenten Facilities Manager, der unsere FM-Dienstleistungen koordiniert und dafür sorgt, dass die vereinbarten Service- und Wartungsstandards nicht nur eingehalten, sondern übertroffen werden.

Das erwartet dich:

• Du baust effektive Kommunikationswege zu den Nutzern in den Gebäuden auf und sorgst dafür, dass unser Service die Erwartungen übertrifft
• Du managst die Rezeption (falls im Scope): Telefonzentrale, Post- und Kurierdienste, Besucherempfang und Organisation der Besprechungsräume
• Du gehst regelmäßig durchs Gebäude (wöchentliche und monatliche Inspektionen) und erkennst Probleme, bevor sie entstehen
• Du stellst sicher, dass alle Mitarbeiter und Dienstleister professionell arbeiten und die Betriebsabläufe nicht stören
• Du koordinierst Dienstleister und Vermieter und gibst Feedback an den Regional Manager weiter
• Du führst monatliche Meetings mit Dienstleistern und Vermieter – dabei checkst du Leistung, Budget und allgemeine Themen
• Du erstellst und verwaltest Facility-Budgets, behältst die Ausgaben im Blick und erstellst Prognosen
• Du analysierst Leistungs- und Finanzkennzahlen und packst Probleme direkt an
• Du setzt unser JLL Quality Management System um und treibst Verbesserungen voran
• Du hältst alle Dokumentationen nach JLL QMS-Standard aktuell
• Du achtest darauf, dass alle JLL-Umwelt-, Gesundheits- und Sicherheitsrichtlinien sowie gesetzliche Vorgaben eingehalten werden
• Du überprüfst Business-Continuity-Pläne und stellst sicher, dass der Service auch im Krisenfall läuft
• Du erstellst monatliche und quartalsweise Reports
• Du kümmerst dich um Bestellungen von Anfang bis Ende und pflegst die Dokumentation
• Du unterstützt beim Erstellen von Standard Operating Procedures

Das bringst du mit:

• Organisationstalent und echte Kundenorientierung
• Verhandlungssichere Deutsch- und Englischkenntnisse
• Sicherer Umgang mit MS Office (Word, Excel, Outlook, PowerPoint)
• Du arbeitest selbstständig und denkst mit
• Du kommunizierst klar und kannst dich durchsetzen
• Idealerweise Erfahrung mit Facility-Management-Systemen
• Kenntnisse im Arbeitsschutz und den relevanten Vorschriften
