About the opportunity

We are looking for an organised and initiative-taking Facilities Manager to join our team on a fixed-term maternity leave contract. Commencing in December 2026, you’ll receive a structured handover through to mid-January before taking ownership of the role. The contract is expected to continue until approximately September/October 2027.

Working closely with the Property Manager, contractors and the wider team, you will coordinate facilities operations, repairs and maintenance, compliance, risk management and portfolio administration across a diverse commercial property portfolio.

Key responsibilities

• Coordinate planned and reactive repairs and maintenance, including work orders, purchase orders and contractor follow-up
• Maintain contractor lists, preventive maintenance contracts, service agreements and key operational registers
• Monitor asset compliance, presentation, risk items and outstanding maintenance actions
• Complete property inspections and prepare clear follow-up reporting with the Property Manager
• Maintain accurate property and lease files, registers and portfolio records
• Manage exceptions relating to insurance, security and statutory requirements
• Coordinate incident reporting and follow established procedures
• Use Yardi, SharePoint, Outlook and Microsoft Office to manage workflow, records and communication
• Participate in WIP reviews, portfolio meetings and regular deadline tracking

About you

• Previous experience as a Facilities Manager or Senior Facilities Coordinator, ideally within commercial property
• Highly organised, detail-focused and confident managing competing priorities
• Practical, accountable and responsive in a fast-paced environment
• Clear written and verbal communication skills, with a service-focused approach
• Sound knowledge of repairs and maintenance coordination, contractor management, compliance and risk
• Strong administrative capability and proficiency in Microsoft Office; experience with Yardi and SharePoint will be highly regarded
• Comfortable completing site inspections and working collaboratively with a range of stakeholders
