What they need

Keta Medical Center is seeking an experienced, hands-on Facilities Manager to oversee the facilities and operational needs of our growing network of medical offices in New York and New Jersey. This role supports our nine existing locations and leads the setup and opening of two new offices currently under development.

This is a field-based position. The Facilities Manager will travel regularly to every Keta Medical Center office and serve as the primary point of contact for facilities issues at all locations, working with landlords, contractors, vendors, and medical staff to keep our offices safe, functional, and fully operational.

Key Responsibilities

Multi-Site Facilities Management

  • Travel regularly to all Keta Medical Center locations to conduct site visits, assess maintenance needs, and oversee work on site.
  • Respond promptly to facilities issues, including electrical, HVAC, plumbing, furniture, internet, security cameras, building access, and deliveries.
  • Schedule repairs and maintenance around clinical hours to minimize disruption to patient care.

Landlord, Contractor, and Vendor Management

  • Serve as the primary liaison with landlords, property managers, contractors, and service providers.
  • Obtain and compare quotes, negotiate pricing, and manage vendor relationships.
  • Oversee contractor work to ensure it is completed properly, on time, and within budget.

New Office Openings

  • Lead the facilities setup of two new offices from initial preparation through opening, including furniture, equipment, internet, security cameras, and access systems.
  • Coordinate installation schedules and contractor access with landlords and internal teams so each location opens on schedule.

Purchasing and Records

  • Order materials, equipment, furniture, and supplies, and track deliveries and installations.
  • Maintain records of purchases, vendor contacts, warranties, and service history.
  • Monitor costs and identify opportunities to reduce expenses.

Internal Coordination and Technology Support

  • Work with physicians, medical staff, and administrative personnel to identify needs and resolve operational issues.
  • Troubleshoot basic internet, Wi-Fi, security camera, and office technology issues.
  • Use computer-based tools to track work orders and projects, and provide regular status updates to stakeholders.

Qualifications

  • Prior experience in facilities management, building management, property operations, or a similar hands-on role; multi-site experience strongly preferred.
  • Practical knowledge of building systems, including HVAC, electrical, and plumbing.
  • Strong computer and technology skills, including familiarity with networking equipment and security camera systems.
  • Proven ability to manage contractors, obtain competitive bids, and negotiate pricing.
  • Excellent organizational, communication, and problem-solving skills, with the ability to manage multiple priorities and take ownership of issues through resolution.
  • A valid driver's license is required. This position requires regular driving between all Keta Medical Center offices in New York and New Jersey.

Compensation and Benefits

  • $90,000 to $110,000 per year, depending on experience.
  • Standard employee benefits.
