The role is accountable for leading the facilities and cleaning team, overseeing maintenance operations and external service providers, managing office and node rental obligations, monitoring utility consumption and driving effective facilities administration and reporting. The Facilities Team Lead is expected to proactively identify operational risks and opportunities, implement improvements, and ensure that facilities services consistently meet organisational standards, operational requirements and business needs.

Key Responsibilities:

Facilities Management & Coordination

  • Office Maintenance & Upkeep: Oversee the day-to-day maintenance and upkeep of the office environment, including repairs, equipment servicing, pest control, deep cleaning, furniture and equipment requirements. Coordinate service providers and suppliers, track facilities-related orders, and ensure timely delivery, completion and payment.
  • Team Management & Supervision: Directly supervise and manage the facilities and cleaning team, including the allocation of daily responsibilities, scheduling, attendance, performance, conduct and productivity. Provide guidance and support to team members, address operational issues and ensure that required standards are consistently maintained.
  • Maintenance Oversight: Plan, prioritise and monitor the maintenance technician's daily activities and workload, ensuring that maintenance requests are attended to timeously and that preventative maintenance requirements are kept on track.
  • Cleaning Operations: Take ownership of cleaning operations across the office environment. Maintain and optimise cleaning schedules, allocate resources according to operational requirements, conduct regular quality checks and implement corrective action where required.
  • Facilities Planning & Support: Work closely with the Office Coordinator and relevant departments to support events, office activities, operational requirements and facilities-related projects.
  • Operational Problem-Solving: Identify facilities-related risks, recurring issues and areas for improvement, and take appropriate action to resolve issues or escalate them where necessary.

Administration, Reporting & Financial Oversight

  • Record Keeping: Ensure accurate and up-to-date records of facilities activities, maintenance, cleaning, supplier engagements, incidents and other operational matters.
  • Rental & Utility Administration: Take ownership of the administration and monitoring of office and node (data centre) rental payments, ensuring invoices are received, verified and submitted for payment within the required timeframes. Maintain accurate records of rental commitments and escalate discrepancies or payment issues as required.
  • Electricity Consumption Reporting: Monitor and maintain accurate electricity consumption records across applicable offices and nodes. Prepare and submit regular consumption reports, identify significant variances or unusual consumption patterns, and escalate exceptions where necessary.
  • Reporting & Monitoring: Maintain and regularly update facilities dashboards, spreadsheets, Trello boards and other tracking tools to provide clear visibility of outstanding tasks, maintenance requirements, rental commitments, utility consumption and operational priorities.
  • Performance Monitoring: Monitor team and service-provider performance against agreed standards and requirements, addressing gaps and implementing corrective measures where necessary.
  • Issue Escalation: Report significant delays, risks, operational issues, performance concerns or exceptions to the direct manager in a timely manner, together with proposed solutions where appropriate.
  • Continuous Improvement: Identify opportunities to improve facilities processes, cost efficiency, team effectiveness, service quality and the overall workplace environment.
