Job Summary
The Facility Manager is responsible for the overall management, maintenance, and smooth operation of the organization's facilities and infrastructure. This is a hands-on role requiring strong technical knowledge of electrical and mechanical systems, as the incumbent will be expected to personally diagnose and resolve technical issues, not only supervise from a distance. The Facility Manager will also oversee contractors and vendors, ensuring work is completed safely, on time, and to the required standard, while maintaining a safe, functional, and cost-effective working environment.
Key Responsibilities
Oversee the day-to-day operation, maintenance, and upkeep of the facility, including buildings, electrical systems, mechanical systems, HVAC, plumbing, and general infrastructure.
Personally carry out hands-on troubleshooting, inspection, and minor repairs of electrical and mechanical equipment, and lead technical diagnosis when issues arise.
Plan, schedule, and implement preventive and corrective maintenance programs to minimize equipment downtime and extend asset lifespan.
Identify, engage, and manage contractors and vendors, including obtaining quotations, negotiating terms, defining scope of work, and monitoring performance and quality of work delivered.
Review and verify contractor invoices, service reports, and completion of work before approving payment.
Ensure all facility operations comply with safety regulations, building codes, fire safety requirements, and other statutory and regulatory requirements.
Conduct regular site inspections and audits to proactively identify maintenance needs, safety hazards, and areas for improvement.
Manage and monitor the facility operating budget, controlling costs related to maintenance, repairs, utilities, and contractor services.
Supervise, guide, and develop facility technicians and support staff, including task assignment and performance monitoring.
Develop, implement, and continuously improve standard operating procedures (SOPs) for facility and maintenance operations.
Lead emergency response and incident management for facility-related issues such as power failure, water leakage, fire incidents, or equipment breakdown.
Maintain accurate records, maintenance logs, and reports on facility conditions, repairs, and contractor activities.
Liaise with building owners/landlords, local authorities, and internal departments on facility-related matters.
Manage procurement and inventory of spare parts, tools, and maintenance materials.
