This position combines manufacturing and personnel management with regulatory compliance, office administration, timekeeping oversight, order fulfillment, and customer and supplier coordination.

Serving as the primary on-site partner to our management team, the Facility Operations Manager translates company priorities into daily assignments, monitors execution, resolves operational issues, and provides clear, timely reporting. This person must be comfortable directing employees, addressing performance concerns, maintaining accurate records, and following issues through to completion.

The manager is accountable for efficient production, employee accountability, facility readiness, documentation accuracy, and timely order fulfillment while maintaining company safety, quality, and compliance standards.

Primary responsibilities

Facility and manufacturing operations

  • Oversee all manufacturing activities within the licensed premises, including extraction, post-processing, formulation, packaging, labeling, and storage, as applicable to facility operations.
  • Manage daily production schedules, staffing assignments, workflow, and priorities to meet approved production targets and customer commitments.
  • Confirm that manufacturing activities follow approved standard operating procedures, facility use diagrams, and authorized operating areas.
  • Conduct regular facility walkthroughs to verify that employees are completing assigned work accurately, safely, and on schedule.
  • Identify production bottlenecks, staffing gaps, equipment concerns, and material shortages; coordinate solutions and escalate significant constraints.
  • Coordinate equipment maintenance, service requests, and facility repairs with appropriate personnel and vendors.
  • Maintain a clean, organized, secure, and inspection-ready facility.
  • Identify and recommend practical improvements to productivity, documentation, communication, and operating procedures.

Regulatory compliance and documentation

  • Oversee adherence to applicable California Department of Cannabis Control requirements, license conditions, internal policies, and approved procedures.
  • Maintain accurate, complete, and timely batch records, production logs, inventory records, and supporting documentation.
  • Ensure proper use and reconciliation of METRC and other applicable inventory or track-and-trace systems.
  • Confirm that required manifests, shipment records, and supporting documentation are prepared and reviewed by authorized personnel before movement.
  • Coordinate regulatory inspections, audits, information requests, and corrective-action follow-up with the management team and designated compliance personnel.
  • Identify, document, and escalate deviations, nonconformances, discrepancies, and suspected compliance violations.
  • Maintain organized records of employee training, SOP acknowledgments, inspections, incidents, and corrective actions.
  • Confirm that operational changes receive required technical, quality, compliance, and management approvals before implementation.

Quality and risk management

  • Enforce established manufacturing controls, GMP-style practices, quality standards, and approved product specifications.
  • Identify process deviations and initiate corrective and preventive actions in coordination with manufacturing, quality, and compliance personnel.
  • Ensure failed batches, quarantined materials, and products awaiting disposition are identified, segregated, and handled according to approved procedures.
  • Coordinate rework approvals and confirm that employees follow authorized instructions.
  • Partner with quality and compliance personnel to protect product integrity and maintain product release readiness.
  • Confirm that required quality reviews and release approvals are complete before affected products are shipped.
  • Report recurring quality problems, document their operational impact, and track corrective actions through completion.

Safety and workplace practices

  • Enforce workplace safety standards, hazard controls, security procedures, and proper use of personal protective equipment.
  • Verify that employees follow approved procedures for equipment operation, material handling, cleaning, and emergency response.
  • Coordinate incident reporting, investigations, and corrective actions with appropriate personnel.
  • Address unsafe conditions promptly and pause affected work when necessary under company procedures.
  • Maintain housekeeping standards and coordinate waste handling, destruction procedures, and required documentation.
  • Verify completion of required safety and job-specific training.

Employee supervision and accountability

  • Supervise manufacturing employees and shift leads, and coordinate the work of office and warehouse personnel within the assigned reporting structure.
  • Communicate clear daily assignments, deadlines, production expectations, and workplace standards.
  • Monitor attendance, punctuality, task completion, work quality, and adherence to approved procedures.
  • Address concerns promptly and professionally; document coaching, recurring issues, and corrective actions.
  • Conduct performance reviews and administer progressive discipline in coordination with the management team and designated HR support.
  • Support recruiting, interviewing, staffing recommendations, and workforce planning.
  • Coordinate onboarding paperwork, system access, orientation, and required training.
  • Ensure employees receive training on SOPs, equipment, safety procedures, quality controls, and compliance requirements before performing assigned work independently.
  • Maintain respectful working relationships and handle employee concerns discreetly.

Timekeeping and payroll coordination

  • Review prior-day time-clock records daily and identify missing punches, discrepancies, attendance exceptions, and potential overtime or meal-period issues.
  • Obtain employee clarification and process or route documented corrections through approved procedures while preserving accurate records of time worked.
  • Coordinate staffing and break coverage to support applicable California meal and rest-period requirements.
  • Monitor overtime needs, obtain approvals under company policy, and accurately report all hours worked.
  • Submit complete, accurate timekeeping information and supporting documentation to payroll by established deadlines.
  • Escalate unresolved payroll questions, repeated timekeeping concerns, and potential wage-and-hour issues to the management team and designated payroll or HR contact.

Orders, customer service, and shipping

  • Review overnight messages, customer requests, new orders, and unresolved issues at the start of each workday.
  • Verify accurate order entry, pricing, quantities, delivery details, and promised ship dates.
  • Confirm with manufacturing which orders are scheduled to ship today and tomorrow, including quantities, production status, and finished-goods availability.
  • Coordinate production priorities and shipping cutoffs with manufacturing, warehouse, and transportation contacts.
  • Ensure invoices, manifests, and other required shipping documents are accurate and ready for scheduled shipments.
  • Confirm transportation arrangements, pickup times, and shipment readiness.
  • Identify orders at risk because of material, capacity, quality, or transportation constraints and coordinate next steps.
  • Communicate schedule changes promptly to affected teams and update customer contacts as authorized.
  • Track customer questions, complaints, returns, and requested changes, assigning an owner and response deadline.
  • Reconcile orders due each day against completed shipments and document every unshipped order, its reason, and its next action.
  • Verify that completed shipping records, invoices, and transaction documentation agree.

Inventory, purchasing, and administrative controls

  • Oversee accuracy of raw material, work-in-process, finished-goods, and operating-supply inventories.
  • Ensure inventory movements, adjustments, waste, and destruction are accurately recorded and reconciled.
  • Coordinate purchasing, procurement, and logistics to support compliant material flow and upcoming production needs.
  • Follow up on purchase orders, incoming material confirmations, supplier commitments, shortages, and late deliveries.
  • Monitor office and facility supply needs and make purchases within approved spending authority.
  • Confirm that scanned records, cash logs, invoices, and supporting documents are provided to accounting accurately and on time.
  • Track billing discrepancies and coordinate resolution with accounting and relevant customer or supplier contacts.
  • Maintain organized electronic and physical records and protect confidential employee, customer, financial, and operational information.

Communication and support to the management team

  • Serve as the management team’s primary on-site contact for facility activity, employee concerns, production status, and operational follow-through.
  • Maintain regular check-ins to confirm priorities, clarify decisions, and report progress.
  • Provide a concise daily report covering production, staffing, shipments, quality concerns, material constraints, unresolved issues, and tomorrow’s priorities.
  • Escalate urgent safety incidents, suspected compliance violations, significant employee concerns, shipment failures, missed customer commitments, and other time-sensitive issues immediately.
  • Present accurate facts, actions already taken, recommended solutions, and decisions needed.
  • Maintain an exception log with an assigned owner, next action, due time, and status for each open issue.
  • Complete the daily manufacturing office checklist and ensure all assigned activities are completed or documented for follow-up.
  • Arrange clear handoffs between shifts or office leads and verify that outstanding items reach resolution.
