FastField & Document Control Coordinator

Chemco is seeking a highly organized and detail-oriented FastField & Document Control Coordinator to support our project and field operations teams. This position will be responsible for supporting and maintaining Chemco’s digital project documentation and field-data systems, including FastField, Microsoft SharePoint, Microsoft 365, Field Installation Work Packages, Construction Work Packages, quality records, onboarding documentation, and project reporting tools.

The successful candidate will work closely with project managers, field supervision, quality personnel, project controls, and administrative teams to ensure that current and approved project information is accurately maintained and readily available to employees in the field.

What You’ll Do

• Administer and support Chemco’s FastField platform, including digital forms, checklists, field reporting workflows, user support, and basic training.
• Maintain accurate and organized project documentation using SharePoint and other approved systems, including revisions, approvals, distribution, archiving, and document status tracking.
• Support the preparation, maintenance, tracking, and close-out of Field Installation Work Packages, Construction Work Packages, quality records, and turnover documentation.
• Coordinate with project managers, field supervision, quality, engineering, project controls, and administrative teams to ensure current and approved information is available when required.
• Review submissions for completeness and accuracy, track outstanding documentation, and assist with records for internal reviews, client requests, and audits.

What We’re Looking For

• Proficiency in FastField and knowledge of similar digital forms/workflow platforms.
• Proficiency in Microsoft Office, specifically, Microsoft Word and Microsoft Excel
• Candidates selected for an interview will be asked to complete a job-related Excel assessment to demonstrate their proficiency with Microsoft Excel.
• Strong organizational and time-management skills.
• Excellent attention to detail and accuracy.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong written and verbal communication skills.
• Experience with document control systems / platforms.
• Experience with FastField or similar digital forms/workflow platforms is an asset.
• Willing to travel and work on project sites throughout Canada.
• Construction, industrial, or project-based experience is an asset.
• Able to work 40 – 50 hours per week
