This role bridges the gap between field operations and project management by helping organize daily work plans, coordinate project logistics, track documentation, and ensure compliance with jobsite procedures. The Project Coordinator plays a key role in supporting Superintendents, Foremen, and Project Managers by maintaining alignment between crews, trades, and project leadership. The position requires someone who can stay organized in a fast-paced environment, communicate effectively with multiple teams, and maintain visibility into both daily operations and upcoming project activities.
This position works primarily in the field and interacts closely with jobsite leadership. This position reports to the Project Manager.

- Assist field leadership in communicating planned work activities, pour sequencing, and logistical needs
- Track planned concrete pours including anticipated sizes, timing, and sequencing
- Support coordination between Heartland crews and other trades working on the project
- Identify potential scheduling conflicts or logistical issues between trades and escalate them to project leadership
- Maintain awareness of project schedules and upcoming work to ensure crews and leadership are prepared for future activities
Jobsite Coordination & Trade Interface
- Participate in regular jobsite coordination meetings with general contractors and other trades

- Document coordination discussions, potential conflicts, and required follow-up actions
- Assist in identifying trade conflicts or site access challenges and help communicate them to project leadership
- Ensure supervisors are prepared to communicate their planned work activities when required during coordination discussions
- While the Project Coordinator may represent Heartland in coordination meetings, field execution decisions, sequencing changes, and operational commitments remain the responsibility of the Superintendent and project leadership.
Jobsite Logistics & Operational Planning
- Support planning and coordination of site logistics including equipment needs, staging areas, and specialty services required for work activities
- Set up and track all concrete orders, pump truck orders, laser screed orders.
- Assist with coordination when concrete pours or major work activities require access, equipment staging, or coordination with other contractors
- Maintain awareness of site logistics that may impact Heartland crews including traffic flow, access points, and shared work areas
Compliance & Permit Coordination
- Support project leadership in ensuring required permits and approvals are obtained prior to performing work that impacts the ground or existing infrastructure
- Assist with submission and tracking of required permits through project-specific systems and digital applications
- Monitor permit statuses and communicate updates to the field team as needed
- Ensure permit documentation is submitted and reviewed prior to planned work activities
- Coordinate with survey teams and designated compliance personnel to verify work areas prior to excavation or ground penetration
Project Tracking & Progress Awareness
- Maintain awareness of project progress and key construction milestones
- Assist with tracking daily field activities and progress for reporting purposes
- Support discussions regarding current progress and upcoming work activities to ensure project teams remain aligned
- Help communicate progress updates and identify potential schedule risks
Quality Control & Pre-Pour Processes
- Assist with ensuring required quality checklists are completed prior to concrete pours
- Support documentation of pre-pour inspections using project software platforms
- Verify that required forms and quality control documentation are completed before work activities begin
- Maintain organized records of inspection documentation and quality control reports
Project Documentation & Administrative Support
- Maintain organized project records and documentation throughout the lifecycle of the project
- Track project documentation including inspections, reports, coordination notes, and project logs
- Assist Project Managers with documentation related to change orders, time-and-material work, and project records
- Support organization of project documentation for billing, reporting, and project closeout
Procore Management & Project Financial Support
- The Project Coordinator oversees Procore from the field, keeping project documentation current and supporting the financial side of each project.
- Serve as the primary point of contact for Procore from the field, keeping project information current and accurate between the jobsite and the office
- Upload, update, and manage project drawings in Procore, including revisions and sketches, so field teams are always working from the current set
- Write and submit RFIs to clarify design questions, field conflicts, or missing information, and track responses through to closure
- Fill out and submit Time & Material (T&M) tickets documenting labor, equipment, and materials used for extra or out-of-scope work, and obtain required signatures
- Prepare and submit submittals such as product data, mix designs, and shop drawings, and track review status and approvals
- Assist Project Managers with Change Order development by gathering field documentation, quantities, T&M records, and supporting backup
- Assist in compiling monthly billing by providing progress quantities, percent complete, and supporting documentation
- Keep Procore logs (drawings, RFIs, submittals, T&Ms, and change events) organized and up to date for reporting and project closeout
- The Project Coordinator assists with change orders and billing; pricing, contract changes, and final billing approval remain the responsibility of the Project Manager.
