Keizer's Group is looking for a dependable, motivated individual to join our team as a Full-Time File Auditor / Office Assistant. This position focuses primarily on reviewing collision repair files for accuracy and completeness, while also providing administrative support and customer service to keep daily operations running smoothly.
Tired of inconsistent workloads or an unsupportive work environment? Join a team that values efficiency, professionalism, and collaboration. We offer a clean, state-of-the-art facility with the latest equipment and technology, competitive wages, employee benefits, paid vacation, and team efficiency bonuses.
Position Overview
The File Auditor / Office Assistant plays an important role in ensuring collision repair files are accurate, complete, and ready for submission to insurance companies and customers. Working closely with Repair Planners, the successful candidate will review repair plans, identify missing information, verify documentation, and ensure files are properly updated before being finalized.
In addition to file auditing, this position provides general office administration and customer service support, including scheduling appointments, answering inquiries, maintaining records, and assisting with daily office operations.
Key Responsibilities
File Auditing & Quality Control
- Thoroughly review repair plans prepared by Repair Planners to ensure all required operations, parts, materials, and additional items have been included.
- Review estimating guide procedures, repair documentation, and photographs to identify missing operations, parts, or materials before plans are submitted for approval.
- Verify computerized damage reports, including blueprints, scrubs, and attached media, to ensure files are complete and accurate.
- Review insurance estimates to identify opportunities for proactive supplements.
- Confirm repair plans are properly documented and ready for submission to insurance companies and customers.
- Follow up on completed repairs to ensure all necessary file updates and documentation are completed before files are finalized and closed.
- Maintain a high standard of accuracy and consistency across all audited files.
Office Administration & Customer Service
- Greet customers and visitors professionally and provide a welcoming, helpful first point of contact.
- Answer incoming calls, respond to customer inquiries, and direct questions to the appropriate team member.
- Collect customer information and maintain accurate records.
- Schedule appointments for damage appraisals, vehicle drop-offs, and pickups.
- Assist with customer follow-up calls and vehicle status updates.
- Complete filing, data entry, and other administrative duties to support the Office Manager, supervisors, and Repair Planners.
- Assist with vehicle deliveries, including handling payments where required and providing warranty and customer satisfaction information.
- Support marketing initiatives and other office activities as needed.
Skills & Qualifications
The ideal candidate will have:
- Exceptional attention to detail and a strong commitment to accuracy.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills, including professional phone manners.
- Good computer skills and the ability to learn new software and management systems.
- Strong administrative, data-entry, and basic mathematical skills.
- The ability to identify errors, recognize missing information, and follow established procedures.
- The ability to prioritize tasks, manage competing demands, and work effectively both independently and as part of a team.
- A professional, courteous, and customer-focused approach.
- Dependable work habits, a positive attitude, and a willingness to learn.
Don't have experience in the collision repair industry? No problem! We're happy to train the right person. Technical knowledge can be taught, but a positive attitude, strong work ethic, attention to detail, and a great personality are what really make someone stand out.
Experience with collision repair processes, automotive estimating software, repair management systems, or insurance procedures is considered an asset. Previous experience in administration, file auditing, data entry, or customer service would also be beneficial.
