JOB PURPOSE
The Finance and Accounting Supervisor is responsible for supervising the day-to-day Finance and Accounting operations of RMR Personal Care and Cosmetics Manufacturing and ensuring that financial transactions are accurate, complete, properly documented, timely recorded, reconciled, and processed in accordance with Company policies and internal controls.
The position serves as the primary operational control point of the Finance and Accounting Department and is expected to strengthen financial discipline, improve transaction visibility, enforce established approval procedures, and provide Executive Management with reliable financial information for decision-making.
The Supervisor shall also coordinate closely with the Company's external accounting service provider and other departments to ensure completeness and integrity of accounting records and financial information.
KEY DUTIES AND RESPONSIBILITIES
1. Daily Finance and Accounting Operations. Supervise the daily activities of Finance and Accounting personnel; review transactions before processing or endorsement; monitor accounts payable, supplier invoices, employee advances, reimbursements, petty cash and other assigned transactions; ensure transactions are recorded in the correct accounting period and properly classified; maintain appropriate accounting schedules and supporting records; and ensure pending Finance transactions are tracked through completion.
2. Accounts Payable and Supplier Transactions. Review supplier invoices, purchase documents, receiving records and other supporting documents before payment processing; verify completeness, mathematical accuracy, authorization and compliance with agreed commercial terms; monitor due dates and prepare payment schedules for Management approval; maintain accurate accounts payable schedules; reconcile supplier statements when necessary; and immediately escalate duplicate, unsupported, unusual or potentially erroneous transactions.
3. Cash, Bank and Fund Management. Monitor Company cash and bank transactions; prepare or review bank reconciliations; monitor petty cash and revolving funds; track advances and liquidations; prepare short-term cash requirement schedules for Executive Management; and ensure cash-related transactions comply with established authorization and documentation controls.
4. General Accounting and Month-End Closing. Coordinate and perform month-end accounting activities; prepare and review account reconciliations and supporting schedules; identify outstanding, unusual or unreconciled balances; coordinate necessary adjustments with authorized parties; maintain schedules for relevant assets, liabilities, income and expenses; and ensure financial information forwarded for reporting is complete and supported.
5. Financial Reporting and Management Information. Prepare periodic internal Finance reports and schedules required by Executive Management; analyze significant account movements and variances; provide summaries on expenses, payables, cash position and other relevant financial indicators; identify financial issues requiring Management attention; and support preparation of budgets, forecasts and management analyses.
6. Manufacturing Accounting and Inventory Reconciliation. Coordinate with Supply Chain, Warehouse, Production and other concerned departments in reconciling accounting records with inventory and operational records; review financial implications of raw material, packaging material, work-in-process and finished-goods movements where applicable; investigate material discrepancies affecting accounting records; support product costing, cost analysis and manufacturing variance review; and ensure accounting treatment of inventory-related transactions is properly supported.
This does not make Finance operationally responsible for physical inventory custody. Finance provides the financial control and reconciliation layer, while the responsible operational department retains physical custody and inventory accountability.
7. Internal Controls and Finance Approval Matrix. Enforce compliance with the Company's Finance Approval Matrix, SOPs, Work Instructions, prescribed forms and documentation requirements; ensure transactions are not processed without appropriate authorization and supporting documents except where formally authorized under an approved exception; identify control weaknesses and recommend improvements; maintain segregation of duties wherever practicable; and report repeated or material control violations to Executive Management.
8. Coordination with External Accounting Service Provider. Serve as the principal operational liaison between the internal Finance team and the Company's external accounting service provider; prepare and submit complete accounting schedules and supporting documents within agreed timelines; review requests for information and coordinate timely responses; reconcile discrepancies identified during external accounting review; and review externally prepared reports and schedules for apparent inconsistencies before endorsement to Executive Management.
The external provider should be treated as a professional service partner—not a substitute for internal financial ownership. The Supervisor remains accountable for the quality and completeness of information originating from RMR.
9. Audit and Statutory Support. Prepare documents and schedules required for financial audits, tax compliance, government submissions and Management review; coordinate audit requests with concerned departments; monitor outstanding Finance-related audit findings; implement assigned corrective actions; and maintain organized, retrievable and audit-ready financial documentation.
10. Budget and Expense Monitoring. Assist Executive Management in annual budgeting and periodic forecasting; monitor actual expenditures against approved budgets where applicable; identify significant or unusual variances; prepare supporting analyses; and recommend opportunities for better cost control and financial discipline.
11. Team Supervision and Development. Assign responsibilities and establish clear deadlines for Finance personnel; review work for accuracy and completeness; conduct regular coaching and performance feedback; identify competency and training gaps; cross-train personnel to reduce dependency on one employee; enforce professional conduct, confidentiality and accountability; and develop a Finance team capable of operating with progressively less day-to-day intervention from Executive Management.
12. Records, Confidentiality and Data Integrity. Protect confidential financial, payroll, banking, supplier and Management information; ensure Finance documents are appropriately filed, controlled and retained; safeguard access to accounting records and financial systems; and immediately report suspected falsification, unauthorized alteration, concealment, loss of financial records or other integrity concerns.
13. Continuous Process Improvement. Review Finance workflows and identify unnecessary delays, duplication, manual control weaknesses and recurring errors; recommend practical improvements; develop monitoring tools and checklists where appropriate; and support automation or system improvements approved by Management.
14. Other Duties. Perform other Finance and Accounting-related duties and responsibilities that may reasonably be assigned by Executive Management consistent with the nature and level of the position.
