About HM Raitt & Sons
HM Raitt & Sons (HMR) was established in 1908, but don't let that fool you. We are a forward-thinking construction company delivering high-quality residential and commercial projects across Edinburgh and East Lothian.
We operate in a busy, fast-paced environment where teamwork, attention to detail and strong organisation are essential. While we take pride in traditional craftsmanship and the quality of our work, we are equally committed to modernising how we operate.
We actively embrace Lean working practices, digital technology and continuous improvement to simplify processes, reduce unnecessary administration and help our people work smarter, not harder.
We encourage our team to contribute ideas, challenge inefficient ways of working and help develop practical improvements that support our continued growth.
Position Overview
We are looking for an organised, proactive and detail-oriented Finance & Procurement Administrator to join our busy office team.
This is a varied role supporting the financial and procurement administration of our construction projects, including purchase order processing, invoice management, cost tracking and maintaining accurate information within our Eque2 Cloud system.
As a business committed to Lean working practices and digital development, we are looking for someone who is not only confident managing day-to-day responsibilities but also enthusiastic about improving processes, embracing technology and identifying more efficient ways of working.
You will have the opportunity to contribute ideas and help shape how our administrative systems develop as the company grows.
Key Responsibilities
· Process approved purchasing requests and raise and maintain purchase orders in Eque2 Cloud, following the company’s purchasing authorisation procedures.
· Check purchase orders, delivery notes and supplier invoices for accuracy; identify and resolve discrepancies.
· Process and code supplier invoices and related transactions accurately against the correct projects and cost headings.
· Maintain up-to-date purchasing and finance records, including supporting documents, delivery information and audit trails.
· Assist with purchase ledger reconciliations, supplier statement queries and preparation of information for payment runs.
· Prepare and maintain project cost information, purchasing reports and budget monitoring information.
· Process routine procurement administration and supplier communications.
· Assist with stock and cost journals, returns and other procurement records.
· Identify opportunities to simplify data entry, reduce duplication and improve purchasing and finance workflows.
· Provide general finance and office administration support as required, while maintaining confidentiality and accurate records.
Qualifications and Experience
Essential
· Previous experience in an administration, finance administration, purchase ledger or purchasing support role.
· Confident working with spreadsheets and digital business systems, with strong data entry and record-keeping skills.
· Excellent attention to detail, numerical accuracy and the ability to manage competing priorities.
· Clear communication skills and confidence in dealing with suppliers and colleagues.
· A proactive, dependable approach and willingness to learn new systems.
Desirable
· Previous experience working in construction or a project-based business.
· Experience with Eque2 (including Eque2 Cloud) or a similar construction accounting / procurement system.
· Experience with purchase orders, invoice matching, project cost coding and reporting.
Personal Attributes
· Organised, methodical and able to follow tasks through to completion.
· Comfortable asking questions and challenging discrepancies constructively.
· Collaborative and professional when supporting office, commercial and site colleagues.
Working With Us
This is an office-based position within a close-knit construction business. We welcome applications from candidates with relevant transferable administration and finance experience; construction and Eque2 experience would be advantageous but are not essential.
