Finance Assistant

ABOUT THE ROLE

Our finance, purchasing, and executive teams depend on this role to keep things running smoothly. You’ll own our established accounts payable process — processing vendor invoices, matching them to purchase orders, keeping records accurate and organized, and following up on missing documentation and routine discrepancies. You’ll also be a go-to source of administrative support for the Controller, the Purchasing team, and the COO.

Our systems and processes are straightforward and well-established. You’ll learn them quickly, take full ownership of the routine accounts payable workflow within your first 30 days, and work independently from there. If you take pride in accuracy, handle confidential information with discretion, and get things done without needing reminders, we want to talk to you.

WHAT YOU’LL DO

• Process vendor invoices and match them to purchase orders
• Maintain accurate accounts payable records
• Follow up on missing invoices, documentation, and discrepancies
• Assist with HR onboarding and manage employee documentation
• Communicate professionally with vendors and internal teams
• Manage electronic records and data entry
• Support the COO with documents, reporting, and projects
• Support general office operations

WHAT YOU BRING

• Experience in an administrative, finance support, AP, or purchasing role
• Exceptional organization and attention to detail
• Strong Microsoft Excel and Outlook skills
• Excellent written and verbal communication
• Professionalism and discretion with confidential information
• Experience with accounting software, ERP systems, or Salesforce
• A self-starter who meets deadlines independently

Nice to Have

• Invoice processing and PO matching experience
• Associate degree or coursework in accounting, finance, or business

Formal accounting qualifications are not required for candidates with strong relevant experience.
