What they need
Role Overview
Fen Farm Dairy is a well-established, family-run dairy farm and artisan cheese producer based in Bungay, Suffolk. We produce milk from our own herd, which is used exclusively to make our range of cheeses on-site, including the award-winning Baron Bigod. Sustainability, animal welfare, and traditional farming methods are at the heart of everything we do.
We are looking for a Finance Assistant to join our team on a 6-month fixed-term contract. This role will primarily focus on data entry, updating spreadsheets, and manipulating data to support the day-to-day activities of our finance team.
This is a practical, administrative role rather than a traditional finance position. The main focus will be on accurately entering information, transferring data between systems and spreadsheets, organising financial information, and ensuring records are kept up to date. The role will involve working extensively with Microsoft Excel and other internal systems, so good computer skills, accuracy, and attention to detail are essential.
We are looking for someone who is organised, methodical, and comfortable working with large amounts of data. You do not need to be a qualified accountant or have extensive finance experience, but you must be confident using spreadsheets, following processes, and completing repetitive tasks accurately and efficiently.
This is a great opportunity for someone with strong administrative and IT skills who enjoys working with data and supporting a busy team in a friendly, family-run business.
Data Entry & Spreadsheet Management
● Accurately enter financial and business data into spreadsheets and internal systems.
● Update, maintain, and organise existing Excel spreadsheets.
● Transfer and manipulate data between different spreadsheets, files, and systems.
● Sort, filter, format, and organise data to ensure it is clear, consistent, and easy to use.
● Check data for errors, missing information, and inconsistencies, correcting these where
appropriate.
● Combine information from multiple sources into consolidated spreadsheets.
● Assist with preparing and updating spreadsheets for reporting and internal business use.
● Maintain accurate and up-to-date electronic records.
Finance Administration
● Support the finance team with routine administrative tasks involving financial information.
● Input and organise invoice, purchase, sales, and other financial data as required.
● Match information across spreadsheets, invoices, and internal records.
● Assist with checking figures and identifying discrepancies for review by the finance team.
● Save, organise, and file electronic documents in the appropriate locations.
● Follow established processes and instructions to ensure information is recorded consistently.
● Handle financial and business information confidentially and responsibly.
IT & Systems
● Use Microsoft Excel confidently for everyday spreadsheet tasks, including sorting, filtering,
formatting, and basic formulas.
● Work across multiple files and systems, ensuring information is transferred accurately.
● Learn and use the company's internal systems and processes as required.
● Identify and report data errors, system issues, or missing information.
● Maintain good electronic filing practices and ensure documents can be easily located.
Teamwork & Communication
● Work closely with the finance team to understand priorities and deadlines.
● Communicate clearly with colleagues when information is missing or clarification is required.
● Ask questions when instructions are unclear and seek support when needed.
● Manage repetitive tasks efficiently while maintaining a high level of accuracy.
● Take a methodical and organised approach to work, ensuring tasks are completed within agreed
timescales.
● Maintain confidentiality when handling sensitive financial and business information.
Skills & Experience
● Good IT skills and confidence working with computers and spreadsheets.
● Practical experience using Microsoft Excel, including sorting, filtering, formatting, and basic
formulas.
● Strong attention to detail and a high level of accuracy.
● Good organisational skills and the ability to manage repetitive tasks.
● A methodical approach to handling and checking information.
● Ability to follow instructions and established processes.
● Reliable, proactive, and able to work independently once trained.
● Previous experience in data entry, administration, or spreadsheet-based work would be
beneficial but is not essential.
Please note: This role is primarily focused on data entry and spreadsheet manipulation. It does not require accounting qualifications or involve taking responsibility for financial analysis, management accounts, or financial decision-making.
