What they need

About THE RAINBOWIDEA

THE RAINBOWIDEA is a global marketing solutions integrator, delivering promotional merchandise, branded marketing materials, corporate events, creative production, and international procurement solutions for multinational clients.

Through our global supplier network and proprietary ROSS4GLOBAL procurement platform, we help companies streamline sourcing, purchasing, and distribution across multiple markets.

We operate in a dynamic international environment where financial accuracy, operational efficiency, and strong commercial understanding are essential.

The Opportunity

We are looking for an experienced, proactive, and detail-oriented Finance Controller who understands the financial complexity of international marketing and promotional merchandise operations.

This is a hands-on position combining financial reporting, client invoicing, Romanian fiscal compliance, international procurement processes, cash-flow management, and project profitability analysis.

The successful candidate will work closely with management, project managers, clients, suppliers, and our external accounting partners to ensure accurate financial operations and provide actionable insights that support business decisions.

We are looking for someone who does more than report figures: someone who takes ownership, identifies risks early, and helps the business make better financial decisions.

Key Responsibilities

1. International Client Invoicing & Procurement Platforms

  • Manage the complete client invoicing process, from purchase order validation to invoice issuance, submission, and payment tracking.
  • Work with international corporate procurement and invoicing platforms, particularly SAP Ariba and Coupa , ensuring compliance with clients' purchasing and billing procedures.
  • Issue and manage invoices using SmartBill , ensuring accurate customer information, VAT treatment, PO references, and required supporting documentation.
  • Monitor transactions through Stripe , including payment reconciliation, transaction fees, refunds, and discrepancies.
  • Verify purchase order validity, available budgets, billing entities, payment terms, and other mandatory invoicing requirements.
  • Handle invoice rejections, discrepancies, credit notes, and payment-related issues in collaboration with clients' Accounts Payable and Procurement departments.
  • Maintain accurate invoicing records and follow up on outstanding receivables.

2. Romanian Fiscal Compliance & International Transactions

  • Apply Romanian tax and invoicing requirements, including VAT legislation, RO e-Factura, and applicable cross-border invoicing rules.
  • Verify the fiscal treatment of domestic, intra-EU, and non-EU transactions involving both goods and services.
  • Collaborate with external accountants and tax advisors to validate complex international transactions before invoices are issued or costs are committed.
  • Understand the financial and documentation implications of intra-community transactions, exports, imports, and direct supplier-to-client deliveries across different countries.
  • Coordinate supporting documentation for relevant VAT, Intrastat, and other applicable reporting obligations.
  • Monitor legislative changes and promptly identify potential fiscal or compliance risks.
  • Ensure that financial and operational documentation is complete, traceable, and audit-ready.

3. Financial Controlling & Management Reporting

  • Prepare monthly and quarterly financial performance reports, including consolidated Profit & Loss statements and profitability analysis by client, project, and business line.
  • Monitor actual financial results against approved budgets and forecasts, identifying significant deviations and recommending corrective measures.
  • Support monthly financial closing activities and reconcile management reporting with accounting records.
  • Prepare financial dashboards covering revenue, gross margin, operating expenses, outstanding receivables, payables, and cash position.
  • Analyze profitability trends and prepare financial insights for management decision-making.
  • Develop and maintain financial forecasts and management reports using advanced Excel and other reporting tools.

4. Project Profitability & Cost Control

  • Monitor the financial performance of international promotional merchandise projects, corporate events, marketing campaigns, and procurement contracts.
  • Track project budgets, supplier costs, logistics expenses, production charges, management fees, and other direct or indirect costs.
  • Analyze estimated versus actual project margins and identify cost overruns or profitability risks.
  • Support Project Managers in maintaining accurate project cost records and financial forecasts.
  • Validate the financial consistency of supplier invoices, client purchase orders, and approved project budgets.
  • Help identify opportunities to improve margins, optimize costs, and reduce unnecessary financial exposure.

5. Cash Flow, Receivables & Payables

  • Maintain and update rolling cash-flow forecasts, including a 13-week cash-flow projection .
  • Monitor customer payment terms, outstanding invoices, overdue receivables, and expected collections.
  • Coordinate payment follow-ups and escalate potential collection issues before they affect liquidity.
  • Track supplier payment obligations and support payment prioritization in line with contractual deadlines and available cash.
  • Monitor working capital requirements, particularly for projects involving advance payments to international suppliers.
  • Provide management with accurate information regarding expected collections, upcoming payments, and short-term financial exposure.

6. Financial Procedures, Systems & Process Improvement

  • Develop, document, and improve internal financial control procedures covering invoicing, purchase orders, supplier documentation, project budgets, and payment approvals.
  • Identify opportunities to automate repetitive financial tasks and improve data accuracy.
  • Ensure consistent financial information across SmartBill, Stripe, SAP Ariba, Coupa, project management platforms, and accounting records.
  • Collaborate with the operational and technology teams to improve financial workflows and reporting.
  • Support implementation of financial controls and standardization across international projects.
  • Act as a reliable point of contact between management, internal teams, external accountants, and financial stakeholders.

Candidate Requirements

Essential Qualifications & Experience

  • Bachelor's degree in Finance, Accounting, Economics, or a related field.

  • Strong understanding of financial statements, budgeting, forecasting, and cash-flow management.
  • Excellent command of English, both written and spoken, for professional communication with international clients and suppliers.
  • Strong attention to detail, analytical thinking, organizational abilities, and deadline management.

Highly Valued Experience

  • Managing invoicing workflows for multinational customers and complex purchase-order structures.
  • Financial controlling in project-based businesses with multiple clients, suppliers, currencies, and countries.
  • Experience with cross-border transactions, EU VAT, exports/imports, and Intrastat documentation.
  • Knowledge of SAP, Oracle, Power BI, Airtable, or comparable financial and business management systems.
  • Experience reconciling online payment platforms and corporate webshop transactions.
  • Ability to work effectively with outsourced accounting and tax advisory teams.
  • Experience developing internal controls, reporting procedures, and financial automation.

What We Value

  • Ownership: You take responsibility for delivering accurate and timely financial information.
  • Proactivity: You anticipate potential issues rather than waiting for them to become problems.
  • Commercial awareness: You understand the relationship between financial decisions, project profitability, and business performance.

  • Solution-oriented thinking: You identify practical ways to improve processes and resolve discrepancies.
