Finance Executive – E-commerce & Operations

Job Summary

We are an e-commerce company looking for a hands-on and detail-oriented Finance Executive to support our daily finance operations.

This role is suitable for someone who is strong in accounting execution, comfortable working with numbers and Excel, and able to independently handle routine coordination with banks, accountants and tax service providers in Singapore.

The role will also involve basic financial analysis for our e-commerce business. Candidates who are comfortable using AI tools such as ChatGPT to improve work efficiency will be preferred.

Key Responsibilities

1. E-commerce Accounting & Reconciliation

• Reconcile sales, refunds, platform fees and payment transactions from e-commerce platforms.
• Assist with revenue, cost and profit calculations.
• Reconcile bank accounts and payment accounts.
• Check financial data accuracy and identify discrepancies.
• Maintain proper supporting documents, invoices and receipts.

2. Financial Reporting & Analysis

• Prepare basic monthly financial reports.
• Assist with P&L, cash flow and expense analysis.
• Monitor major expenses and highlight unusual or incorrect transactions.
• Support management with simple financial analysis and data summaries.

3. Banking & Payment Operations

• Handle routine banking matters in Singapore.
• Prepare and process payments.
• Liaise with banks when required.
• Maintain records of bank transactions and account balances.

4. Tax & Accounting Coordination

• Coordinate with external accountants, auditors and tax agents.
• Prepare documents required for corporate tax, GST and annual filing matters.
• Assist with IRAS-related documentation and follow-up.
• Ensure accounting and tax documents are properly organized and submitted on time.

5. AI & Process Efficiency

• Use AI tools such as ChatGPT to improve finance-related work efficiency.
• Use AI and Excel to assist with data checking, reconciliation, reporting and document preparation.
• Help improve finance SOPs and reduce repetitive manual work.

Requirements

• Diploma or Degree in Accounting, Finance or related field.
• 1–3 years of relevant accounting or finance experience.
• Good understanding of basic accounting principles.
• Comfortable with AP, AR, bank reconciliation and month-end closing support.
• Good Excel skills, including functions such as XLOOKUP, SUMIFS and Pivot Tables.
• Able to communicate professionally in English with banks, accountants and external service providers.
• Detail-oriented, responsible and able to work independently.
• Comfortable learning and using AI tools in daily work.
• E-commerce experience is preferred.
• Experience with Amazon, Shopify or online payment platforms is an advantage.
• Familiarity with Xero, QuickBooks or similar accounting software is an advantage.

You do not need to be a senior finance manager, but you should be able to independently handle routine finance work, keep financial data organized and accurate, and follow up effectively with banks, accountants and tax service providers.

Candidates who are proactive in using AI and technology to improve efficiency will have an advantage.
