What they need

Finance Manager

The Finance Manager is responsible for maintaining the day-to-day financial health, accuracy, and organization of World Explorers. This person should be highly dependable, detail-oriented, proactive, and able to translate financial information into clear, usable information for leadership.

Core Responsibilities

  • Manage day-to-day accounting and financial operations across World Explorers entities, programs, and locations.
  • Maintain accurate, current books and ensure all transactions are properly categorized and documented.
  • Manage accounts payable, ensuring bills are reviewed, coded, approved, and paid according to established timelines.
  • Monitor accounts receivable and proactively follow up on outstanding balances, reimbursements, grants, contracts, and other receivables.
  • Maintain a clear, continually updated cash-flow forecast and alert the CEO to anticipated cash needs well in advance.
  • Complete monthly bank, credit card, merchant processor, and other account reconciliations.
  • Manage financial transactions and documentation within platforms such as BILL, Sawyer, Brightwheel, banking platforms, and accounting software.
  • Reconcile enrollment and program revenue against registrations, discounts, scholarships, refunds, and payments received.
  • Track financial performance by school, site, program, department, and revenue stream, rather than looking only at organization-wide totals.
  • Prepare monthly financial reporting packages, including profit and loss statements, balance sheets, cash-flow reporting, budget-to-actual comparisons, and relevant program-level analysis.
  • Maintain annual and monthly operating budgets and update forecasts as conditions change.
  • Identify meaningful budget variances and explain why they occurred rather than simply reporting the numbers.
  • Develop financial dashboards that allow leadership to quickly understand revenue, expenses, cash position, enrollment economics, and financial trends.
  • Work closely with the CEO to support financial planning, decision-making, and organizational growth.
  • Provide the CEO with concise financial summaries that clearly identify what needs attention, what needs a decision, and what is on track.
  • Prepare financial information and documentation needed for banks, lenders, auditors, accountants, funders, grant reporting, insurance providers, and other external partners.
  • Maintain organized financial records and ensure supporting documentation is readily available for audits, tax preparation, grant reporting, or compliance reviews.
  • Help maintain appropriate financial controls, approval processes, documentation standards, and separation of duties.
  • Monitor recurring expenses, subscriptions, vendor agreements, and other commitments for accuracy and opportunities to reduce unnecessary spending.
  • Review vendor invoices and payment requests for errors, duplication, unusual charges, or inconsistencies before payment.
  • Support payroll reconciliation and ensure payroll expenses are properly allocated across programs and locations.
  • Maintain accurate records of contractor payments and other transactions requiring year-end reporting.
  • Assist with year-end close, tax preparation, audits, 1099 preparation, and other annual financial processes.
  • Monitor restricted funds, grants, scholarships, designated funds, and other revenue requiring separate tracking.
  • Build and maintain financial systems capable of supporting a growing multi-site organization.
  • Document finance procedures so critical financial processes do not live solely in one person's memory.

What Excellence Looks Like

  • Books are consistently current—not several weeks or months behind.
  • Bank and credit card reconciliations happen every month without leadership having to request them.
  • Bills do not unexpectedly become overdue.
  • The CEO knows the organization's current cash position and upcoming obligations.
  • Financial reports are accurate, understandable, and delivered on a predictable schedule.
  • Problems are surfaced before they become emergencies.
  • The Finance Manager investigates discrepancies instead of simply forwarding them to someone else.
  • Every significant number can be traced back to supporting documentation.
  • Program leaders can understand whether their programs are meeting financial expectations.
  • Leadership can confidently use financial data to make pricing, staffing, expansion, and investment decisions.
  • The Finance Manager sees themselves as an owner of financial operations, not simply the person who enters transactions.

Ideal Candidate

  • Strong accounting and bookkeeping fundamentals with experience managing the finances of a growing organization.
  • Demonstrated experience with budgeting, forecasting, reconciliations, accounts payable, accounts receivable, and financial reporting.
  • Exceptionally organized and comfortable managing multiple entities, programs, locations, revenue streams, and deadlines.
  • Advanced Excel and/or Google Sheets skills.
  • Comfortable learning and integrating multiple financial and operational platforms.
  • Able to identify inconsistencies and investigate until the underlying issue is understood.
  • Excellent written and verbal communication skills, particularly the ability to explain financial information to non-finance leaders.
  • Comfortable working directly with a CEO and exercising discretion with confidential financial information.
  • Proactive, resourceful, and capable of working independently without needing constant direction.
  • Experience with nonprofits, education, childcare, youth programming, multi-site operations, or a combination of these is strongly preferred.
  • Understands that in a growing organization, strong finance management requires both precision and problem-solving.
