About Swoop
We are a global community of over 100 adventure travel enthusiasts - ex-guides, avid travellers, and those with an adventurous spirit - spanning five continents. Since 2010, we’ve helped more than 15,000 people experience the trip of a lifetime in Antarctica, Patagonia and the Arctic. Our success is rooted in our intimate knowledge of these incredible regions, our deep care for their preservation, our commitment, as a B Corp, to doing what’s right for people and the planet and, above all, our connectedness as a global team.
About the role
We're looking for an experienced, hands-on Finance Manager to take ownership of key financial, statutory and regulatory responsibilities across Swoop's growing international business.
Reporting to the Head of Finance, you'll be responsible for statutory accounts and audits, tax and regulatory compliance, cash management, financial controls and supporting the smooth running of our day-to-day finance operations.
You'll directly manage and develop two Finance Assistants, while working closely with the Management Accountant, Head of Finance and wider business to ensure financial information is accurate, processes are efficient and obligations are met on time.
As an international travel business operating across the UK and US, and sister company to Condor Ventures Group, our finance requirements are varied. You'll be comfortable managing competing priorities, working independently and taking ownership of everything from year-end reporting and compliance to cashflow forecasting and financial analysis.
This is a hands-on role for someone who enjoys getting into the detail, solving problems and improving the way things work. You'll have the opportunity to strengthen financial processes, support commercial decision-making and contribute to the continued growth of the business.
Key responsibilities
Swoop Travel Limited
- Own the end-to-end year-end accounts and statutory audit process, including preparation of group accounts, reconciliations, and responding to auditor queries
- Manage tax compliance across VAT, PAYE and Corporation Tax
- Manage ABTOT and ATOL quarterly reporting, regulatory compliance and annual renewals
- Oversee financial and legal compliance for Swoop Travel Inc. (our US entity), including annual reports, tax filings and insurance
- Manage monthly and year-end accounting for joint venture & subsidiary
- Submit payroll for both UK and US teams
- Own cash management strategy and cashflow reporting
- Handle stakeholder queries, including bank and merchant services queries
- Manage insurance requirements and renewals
- Manage Companies House filings and support board and share-related matters
- Implement financial controls and identify process improvements across reporting and compliance
- Line manage the Finance Assistants (AP & AR) — set clear objectives, review output, and provide regular coaching and feedback
- Together with the Management Accountant, act as the point of contact for other departments on matters related to finance, risk and accounts processes
- Use the lighter-workload months (broadly August–March) to deliver defined projects and process improvements, agreed with the Head of Finance
- Prepare strategic reports and analysis for the Head of Finance
- Attend meetings in place of the Head of Finance when necessary and appropriate
Condor Ventures Limited Group
For Swoop’s sister companies:
- Own the end-to-end year-end accounts, including preparation of group accounts, reconciliations, and responding to queries
- Manage ABTOT and ATOL annual renewals
- Manage insurance requirements and renewals
- Manage Companies House filings and support board and share-related matters
- Ad hoc compliance related tasks
About you
Must-have
- Fully qualified accountant (ACCA, ACA or CIMA)
- Proven experience managing statutory accounts, year-end reporting and external audits with a strong understanding of UK tax and financial compliance requirements
- Strong financial management experience, including cashflow forecasting, reconciliations, financial controls and reporting
- A demonstrable track record of working efficiently and independently, managing competing priorities and delivering accurate work to deadlines
- Experience managing or supervising junior finance team members, with the ability to provide clear direction, coaching, constructive feedback and support their development
- Genuinely hands-on with spreadsheets, particularly Excel or Google Sheets, and comfortable building financial models, analysing data and producing reports yourself rather than simply reviewing someone else's work
- Strong attention to detail, with a proactive, practical approach to identifying problems, improving processes and finding solutions
- Good commercial awareness, with the ability to understand how financial decisions and performance impact the wider business
- Confident communicator who can build effective working relationships across departments, explain financial information clearly and work collaboratively with senior stakeholders
Desirable
- Experience with US entities, international accounting requirements and joint ventures, including tax filings and regulatory compliance.
- Experience managing insurance requirements, renewals and Companies House submissions.
- Experience improving financial processes, systems or reporting to increase efficiency and accuracy
- Experience in the travel industry, particularly with ABTOT, ATOL and associated financial compliance requirements.
