About AMTC & Associates
AMTC is a consulting firm that works with schools, nonprofits, and faith-based organizations to provide nonprofit management consulting, performance measurement, research, and evaluation services. Since 1997, AMTC has worked with more than 40 organizations to provide services for more than 200 programs in over 250 communities throughout the nation, leveraging more than $500 million in sustainable federal, state, and local programs. Collectively, AMTC's team is experienced in nonprofit management consulting, delivering training programs and technical assistance; building nonprofit capacity; and designing, operating, and evaluating large-scale programs funded by the U.S. Departments of Health and Human Services (HHS), Labor (DOL), and Justice (DOJ).
About the Position
AMTC is seeking an experienced, detail-oriented, and highly organized Finance Manager to oversee the organization's financial operations, payroll, and compensation-related human resources administration. This position works closely with the Principal to ensure sound financial management, effective internal controls, regulatory compliance, and efficient administrative systems.
The Finance Manager plays an important leadership role in supporting AMTC’s team and organizational goals. The ideal candidate is a proactive problem-solver who enjoys working independently, managing multiple priorities, improving processes, and providing thoughtful financial and operational guidance to leadership.
Key Responsibilities
Finance and Accounting
- Oversee day-to-day financial operations, ensuring accuracy, accountability, and compliance with generally accepted accounting principles (GAAP).
- Develop and monitor organizational and program budgets, forecasts, and management reports.
- Manage accounts payable and oversee accounts receivable, including contract budgets, rates, payment terms, generating monthly and quarterly client invoices, and collections. The Operations Manager enters client contract estimates and payments received in QuickBooks Online and prepares bank deposits.
- Maintain the general ledger and accounting records in QuickBooks Online, including monthly reconciliations.
- Monitor financial performance, analyze financial data, and provide recommendations to support informed business decisions.
- Manage AMTC's internal contractual agreements, including subcontractor, consultant, and vendor agreements, contractor exhibits and scopes, and non-disclosure agreements, including tracking renewals, documentation, and compliance requirements. Review the financial terms of external client and grant agreements, working with the Operations Manager, who coordinates client contract documentation, renewals, and tracking.
- Support grant budgeting and administration, including reviewing contract budgets and budget narratives and providing technical assistance as needed.
- Coordinate annual financial audits and serve as a primary point of contact for external accountants, auditors, banking partners, and other financial stakeholders.
- Maintain and improve financial policies, procedures, systems, and internal controls.
Payroll and Human Resources Administration
- Administer payroll, compensation changes, bonuses, reimbursements, payroll deductions, and federal and multistate payroll tax requirements.
- Manage retirement plans, including the 401(k) and cash balance plans, and paid time off tracking. Provide the confidential salary census and payroll data needed for the annual employee benefits renewal, which the Operations Manager oversees.
- Coordinate year-end payroll and tax reporting, including W-2s, 1099s, retirement plan reconciliations, and required filings.
- Oversee employment-related administration, including job postings, interview coordination, onboarding, orientation, employee records, employment letters, and termination procedures.
- Provide input on payroll, compensation, and compliance requirements to the Organizational Development Consultant and the Operations Manager, who maintain the Employee Policy Manual.
- Maintain employee hire dates and the annual performance review schedule, notify the Principal and the Organizational Development Consultant when reviews are due, process any resulting compensation changes, and prepare salary letters.
- Manage contractor and vendor documentation, agreements, payments, renewals, and required tax and insurance documentation.
Organizational Support and Compliance
- Provide regular financial and operational updates to the Principal, including weekly briefing reports and analysis of key financial information.
- Maintain accurate, organized documentation to support financial reporting, audits, and regulatory requirements.
- Coordinate annual commercial insurance renewals and ensure timely delivery of required certificates of insurance.
- Review office lease terms and facility costs with the Operations Manager, who manages day-to-day supplies, equipment, facilities, and building relations.
- Complete required government surveys and organizational filings.
- Identify opportunities to improve accounting, budgeting, administrative, and operational processes, including the effective use of technology and AI tools.
- Assist the Principal with special projects and other organizational priorities as needed.
Qualifications
Required qualifications:
- Bachelor's degree in accounting, finance, business administration, human resources, or a related field.
- At least five years of experience in accounting and financial management, with experience in payroll and human resources administration.
- Strong knowledge of U.S. GAAP, financial reporting, budgeting, reconciliations, and internal controls.
- Proficiency with QuickBooks Online and cloud-based software applications.
- Advanced computer skills, including Microsoft Excel, Word, Outlook, and Teams.
- Experience managing payroll, retirement plans, and employment-related administrative requirements.
- Excellent organizational, analytical, problem-solving, project management, and communication skills.
- Strong attention to detail and the ability to manage confidential information with discretion.
- Ability to work independently, exercise sound judgment, meet deadlines, and manage multiple competing priorities.
- Flexibility and adaptability in responding to changing organizational needs.
Preferred qualifications:
- Experience with government-funded programs, grants, subcontractor agreements, or contract-based budgeting.
- Experience coordinating annual financial audits and working with external CPAs.
- Experience improving financial and administrative processes.
- Familiarity with SaaS platforms, AI tools, and technology that improves organizational efficiency.
