What they need

Job Title: Finance Team Coordinator

Location: London - Hybrid / 4 days in office

Job Type: Full Time, Permanent - £40,000

Our client is a well-established, privately owned property development and investment business in London, with a substantial portfolio across both development and investment. With live projects funded and delivered alongside the investment portfolio, and a close-knit team, decisions are made quickly and the Finance team works closely with senior leadership with real visibility across the business.

They are now looking for an organised and proactive Finance Team Coordinator to support their Finance and Tax teams.

This is a varied role that combines team and diary support with hands-on involvement in tax and finance compliance, treasury administration, payment runs and finance systems. Reporting to the Senior Financial Controller, you will support senior finance and tax leaders and the wider team, and act as a key link between Finance and the rest of the business.

The role would suit someone with experience supporting a Finance team who enjoys variety, is confident with systems and Excel, and wants to develop their knowledge of finance processes within a property business.

Key Responsibilities

  • Provide day-to-day support to senior leaders in the Finance and Tax teams and to the wider team as required.
  • Manage diaries for senior finance team members, resolving clashes and anticipating meeting requests and room bookings.
  • Maintain tax reporting and compliance trackers, and gather information from finance and legal colleagues for external advisers preparing filings and returns.
  • Manage the HMRC information tracking system and follow up with HMRC on registration applications, dormant company notifications and similar matters.
  • Support the Financial Controller with filing financial statements at Companies House and track key reporting deadlines.
  • Help roll forward entity financial statements ahead of data population by the finance team.
  • Prepare monthly invoice packs to support funding drawdowns, circulating them to Project Managers and external lenders and answering initial queries.
  • Prepare and circulate a daily bank balances report in Excel.
  • Act as system administrator for the online banking platform, keeping users, bank accounts and role profiles up to date, and lead on setting up new bank accounts.
  • Set up corporate credit cards for approved users and liaise with the card provider on limits and other issues.
  • Review and respond to finance support queries raised through the internal ticketing portal.
  • Support the Financial Systems Accountant with tasks on key finance systems, including setting up new joiners and removing leavers.
  • Help maintain up-to-date controls and process documentation and carry out controls spot checks.
  • Manage invoices for the senior finance team, including raising Purchase Orders, maintaining invoice trackers and running budget reports.
  • Organise travel, accommodation, couriers, photocopying and document binding as required.
  • Prepare presentation documents and organise team social events.
  • Build strong relationships with the Business Support team, Finance and internal customers, and help promote the role of Finance across the wider business.

Key Requirements

  • Experience working within a busy, fast-paced team.
  • Previous experience supporting a Finance team would be preferable.
  • Strong IT skills, including Microsoft Teams, Outlook, Excel, Word and PowerPoint.
  • Excellent diary management skills, with the ability to manage multiple calendars and resolve clashes.
  • Able to pick up new systems quickly, including intranet, CRM and invoicing systems.
  • Highly organised, with strong attention to detail and the ability to track deadlines.
  • Confident building relationships and communicating with stakeholders at all levels.
