What they need

Financial and Payroll Admin

About Us:

We are Aotea, a young and innovative Auckland based company with two businesses:

Aotea Energy is an Auckland-based energy technology company taking on one of the biggest fixed costs in every Kiwi household - the power bill. Our Mark1 Smart Battery gives homeowners direct access to the wholesale electricity market, automatically shifting energy usage to slash bills in half. No solar panels. No behaviour change. Just smarter energy, working in the background.

Aotea Health is a skincare health business started on Aotea (Great Barrier), whose primary focus is to share indigenous resources from our farm to the world through award winning products with roots in Maori Rongoa. Our kawakawa balm is a market leader.

We are currently seeking a skilled Financial and HR administrator to join us, keep our book work up to date in Xero, prepare cashflows, manage payroll, reconcile inventory, and keep our office admin up to date.

**Position Overview:**You will take ownership of our day-to-day accounts functions across two business entities, Xero coding and reconciliation, manage payroll, reconcile inventory, freight etc. and produce financial forecasts and monthly reporting. Reporting directly to the General Manager, you'll work closely with key people to provide the live financial data that drives our business decisions.

Key Responsibilities:

●      Accounts & BookkeepingWe have basic processes in place for bills, payments, expenses etc but you will take responsibility for developing and improving these systems and processes, working the broader engineering, sales, marketing, production, installation and retail teams. Processes  include;

○      Xero reconciliation including Stripe and A2X/Shopify payouts,

○      Bills approvals and coding (including chasing the team for receipts!)

○      Revenue tracking and coding

○      Receivables and Payables processes

○      Inventory management through purchasing, receipting, manufacturing

○      Expense claims

○      And we have a lot of foreign currency invoice deposits, payments, shipping and taxes that need to be forecast, managed and paid.

●      GST & ComplianceGet the GST reports sorted each period, get them filed and monitor IRD compliance.

●      Monthly ReportingPrepare P&L, Balance Sheet and Cashflow reports, again, coordinating with the various parts of the business for forecasting and expense budget.
Manage aged payables/receivables, customer statements, allocate COGS, wages, revenue to correct accounts, maintain assets and depreciation, perform inter-company billing and reconciliations.

●      HR & PayrollProcess multiple payrolls , maintain employee records including contracts, ensure compliance with PAYE and Kiwisaver, manage onboarding and off-boarding. Preferably you have payroll experience in working with NZ regs around holidays, contracts etc. But we have legal advisors and management support to back you up.

About You

We're looking for someone who is more than just a bookkeeper — you're an adaptive, clever person with a financial bent who is great with processes and working with the people across the businesses. Ideally you will have:

●      Proven experience in Xero bookkeeping, accounts, monthly reporting etc

●      Strong working knowledge of Xero (experience with Unleashed, A2X/Shopify and/or Stripe a bonus)

●      Experience with NZ payroll, PAYE, KiwiSaver, and employment legislation

●      A methodical, detail-oriented approach with excellent organisational skills

●      You do what you say you are going to do

And you are;

●      A Confident communicator who can work effectively with both leadership and operational teams

●      Comfortable managing and documenting SOPs and processes

●      Proactive in attitude — you spot problems before they become issues

●      Are prepared for a high change, dynamic and exciting business environment

One more thing:

We like to work on site in Westhaven in town. We like people in the offices every day as there is so much happening, things can change in an instant and all you will be there to chip in with ideas and help. Having said that, some people work from home on some days, some have parental responsibilities on some days, so we are flexible and understanding.

Our Values

●      Integrity — Do right by Aotea and Aotearoa. We make decisions we’d be proud to explain — to our customers, our team, and our country. Honest when it’s easy, honest when it’s hard.

●      Innovation — Think from first principles. We don’t accept “that’s how it’s done.” We design technology that solves real problems and prove Aotearoa can lead the world in energy resilience and we produce skincare products that are clinically proven and based on indigenous remedies.

●      Excellence — New Zealand deserves our best. High bar, always. From how we show up in a customer’s home to how we build and support our product.

●      NZ Proud — Proud of where we’re from. Proud of what we’re building. We carry Aotearoa’s name and its spirit.

●      Kaitiakitanga — Guardianship of land, people, and future generations. We’re building energy solutions that serve this country for decades and we grow/harvest ingredients and manufacture skincare with a circular economy approach.

Other offers great for you!
