What they need

Position Overview

The Reveille Foundation is seeking a hands-on Controller to lead and own the organization’s accounting and financial management function.

The Controller will be responsible for the full accounting cycle, financial reporting, grant and program accounting, budgeting, forecasting, cash management, payroll oversight, internal controls, and coordination of the organization’s broader financial and administrative processes.

This is an operating role, not a review-only position. The Controller will remain directly involved in day-to-day accounting while also providing the judgment, structure, and financial leadership necessary to maintain accurate records, meet grant and reporting requirements, support organizational decision-making, and ensure consistent financial discipline across the organization.

The Controller reports directly to the President & CEO and works closely with operations, program leadership, external accountants, grant partners, and other professional service providers.

Core Responsibilities

Accounting Operations and Financial Close

  • Own the general ledger and day-to-day accounting function.
  • Maintain accurate and timely recording of revenues, expenses, cash activity, receivables, payables, payroll activity, accruals, prepaids, deferred revenue, and other financial transactions.
  • Lead the monthly and annual close processes.
  • Prepare and maintain bank, credit card, balance sheet, payroll, and other required reconciliations and supporting schedules.
  • Review financial activity for completeness, accuracy, appropriate classification, and consistency with generally accepted accounting principles.
  • Maintain organized supporting documentation and financial records.
  • Identify accounting discrepancies, unresolved items, and control weaknesses and drive them through resolution.

Financial Reporting, Budgeting and Planning

  • Prepare monthly financial statements and management reporting.
  • Develop and maintain annual organizational and program budgets.
  • Prepare recurring budget-to-actual reporting and investigate significant variances.
  • Maintain financial projections and cash-flow forecasts.
  • Provide financial analysis and decision support to the President & CEO.
  • Prepare financial information and analysis for presentation to the Board of Directors.
  • Support longer-term financial planning and scenario analysis.
  • Maintain appropriate reporting schedules and financial calendars.

Grant and Program Accounting

  • Own financial accounting and reporting for government, foundation, and other grant-funded programs.
  • Review grant agreements, budgets, restrictions, allowable-cost requirements, reporting requirements, and financial deadlines.
  • Maintain accurate grant and program expenditure tracking.
  • Maintain grant budget-to-actual reporting and supporting schedules.
  • Prepare or oversee monthly, annual, and grant-specific financial reports as required.
  • Prepare financial information and supporting schedules for SF-425 reporting and other government grant reporting.
  • Maintain complete and organized grant documentation and financial support.
  • Coordinate expense classifications, shared-cost allocations, payroll allocations, indirect costs, and other grant-related accounting matters.
  • Support grant monitoring, reimbursement requests, audits, and funder reviews.
  • Work with program and operations personnel to ensure financial activity is supported, appropriately classified, and reported accurately.

Internal Controls, Policies and Financial Discipline

  • Establish, maintain, and enforce appropriate accounting policies, procedures, documentation standards, approval workflows, and internal controls.
  • Ensure financial processes are followed consistently across departments and programs.
  • Establish clear deadlines and expectations for information required from operations and program staff.
  • Identify process breakdowns, accounting risks, and control weaknesses and implement practical improvements.
  • Maintain appropriate separation of duties within the constraints of a lean organization.
  • Evaluate accounting workflows and systems and make changes necessary to improve accuracy, efficiency, and accountability.

Payroll and Human Resources Administration

  • Own the financial and administrative oversight of payroll.
  • Determine the appropriate division of responsibilities for payroll processing and review, and ensure payroll is completed accurately and timely.
  • Maintain payroll-related reconciliations, allocations, records, and supporting documentation.
  • Oversee the administrative processes supporting employee onboarding, offboarding, benefits, payroll changes, personnel records, and other routine HR functions.
  • Coordinate with outside HR, payroll, benefits, employment, or other professional service providers as appropriate.
  • Work with the President & CEO to determine where managed services or outside specialists should be used.
  • Ensure HR-related administrative processes have clear ownership, deadlines, documentation, and follow-through.

Administrative and Technology Coordination

  • Provide functional oversight of core administrative systems and processes that support finance and organizational operations.
  • Coordinate with managed IT providers and other technology vendors regarding user access, system administration, security, onboarding and offboarding, and ongoing service needs.
  • Ensure critical administrative systems have defined ownership and appropriate controls.
  • Coordinate with operations and property management where financial, administrative, procurement, vendor, insurance, or documentation requirements overlap.
  • Serve as a central point of accountability for administrative processes that do not warrant a standalone internal department.

External Financial Relationships and Compliance Support

  • Serve as the primary internal financial contact for the organization’s external tax CPA.
  • Coordinate annual tax preparation and provide required schedules, reconciliations, and supporting documentation.
  • Coordinate financial statement audit or review preparation as required.
  • Support external grant reviews, monitoring visits, and other financial examinations.
  • Coordinate with attorneys, insurance providers, banks, grantors, and other professional advisors on financial matters as appropriate.
  • Maintain the organization in a state of ongoing audit and review readiness.

Qualifications

  • Bachelor’s degree in Accounting, Finance, or an equivalent field.
  • 7 years of relevant accounting experience with substantial responsibility for financial close, reporting, reconciliations, and accounting operations.
  • Meaningful nonprofit accounting experience required.
  • Strong knowledge of nonprofit accounting principles and financial reporting.
  • Experience with grant accounting and restricted funding strongly preferred.
  • Experience with government or federally funded grants preferred.
  • Experience with VA Grant and Per Diem programs is a plus.
  • Experience preparing or supporting government financial reports, including SF-425 reporting, is preferred.
  • Experience with budgeting, forecasting, cash-flow management, and budget-to-actual reporting.
  • Strong experience with accounting systems; QuickBooks Online experience is preferred.
  • Experience coordinating payroll and related administrative processes.
  • CPA, CMA, or equivalent professional credential preferred but not required.
  • Ability to operate independently, exercise professional judgment, establish priorities, and take ownership without requiring ongoing accounting supervision.

Core Competencies

  • Accounting ownership and accountability
  • Independent professional judgment
  • Nonprofit and grant accounting expertise
  • Financial analysis and problem solving
  • Organization and deadline management
  • Internal control and process discipline
  • Cross-functional communication
  • Ability to work effectively with executive leadership, operations, program staff, external professionals, and the Board
  • Willingness to remain hands-on while maintaining ownership of the broader finance function

Position Accountability

The Controller is the internal owner of The Reveille Foundation’s finance and accounting function and is accountable for maintaining accurate financial records, timely close and reporting, effective grant accounting, budget and cash-flow oversight, and disciplined financial processes across the organization.

The role is expected to operate independently, exercise sound professional judgment, identify and resolve financial issues, maintain appropriate controls, and provide reliable financial information to the President & CEO and Board.
