Fleet & Customer Operations ControllerTwo opportunities to take ownership and grow

Cool Motion UK | Leicester head office | Full-time, permanent

Salary: £42,000–£46,000 per annum, depending on experience, plus performance-related bonus of up to 5%

Minimum 45 working hours per week, on a rota between 7am and 6pm, Monday to Sunday. Weekend working is essential.

Take ownership. Deliver outstanding service. Make your mark.

Cool Motion UK is a small business with a national reach and big ambitions.

We’re recruiting two Fleet & Customer Operations Controllers to help keep our refrigerated vehicle rental operation running smoothly, seven days a week.

This role brings together customer service, fleet coordination, maintenance planning and vehicle readiness. From answering an urgent customer query to coordinating a breakdown or organising tomorrow’s deliveries, you will take responsibility and see things through.

We want someone who cares about the business as if it were their own: organised, dependable, commercially aware and passionate about giving customers excellent service.

What you’ll do

Look after our customers

  • Respond promptly and professionally to telephone and email enquiries.
  • Take ownership of customer queries, keeping people informed until the issue is resolved.
  • Coordinate breakdown assistance, repair updates and replacement vehicle arrangements.
  • Handle difficult conversations calmly, finding practical solutions and escalating when needed.
  • Identify ways to improve our service and strengthen customer relationships.

Keep the fleet moving

  • Maintain accurate information on vehicle locations, availability, condition and readiness.
  • Organise deliveries, collections, workshop visits and other vehicle movements.
  • Coordinate drivers, preparation staff and suppliers against daily priorities.
  • Ensure vehicles are prepared, checked and supported by complete handover records.
  • Work closely with the rental team to meet customer commitments.

Coordinate maintenance and compliance

  • Track servicing, MOTs, inspections, recalls and refrigeration maintenance.
  • Book work with approved suppliers and follow repairs through to completion.
  • Record defects accurately and ensure they are assessed and resolved.
  • Maintain clear maintenance records and supporting documentation.
  • Prevent vehicles with unresolved safety or compliance issues from being released, seeking competent technical advice where required.

Improve how we work

  • Plan ahead, anticipate problems and make sensible decisions within your authority.
  • Keep accurate records and provide clear handovers between shifts.
  • Suggest improvements that reduce delays, avoid repeat problems and improve customer service.
  • Take responsibility for your actions, acknowledge issues early and follow through on commitments.
  • Work as one team across operations, rentals, fleet and accounts.

Who we’re looking for

You are a people person with excellent communication skills and the organisation to manage a busy workload.

You enjoy responsibility, remain calm when plans change and take pride in getting things right.

You understand that outstanding service means making realistic commitments and delivering on them.

You will bring:

  • Relevant experience in vehicle rental, fleet coordination, leasing, transport operations, maintenance control or automotive service.
  • Experience handling customer enquiries and resolving problems by telephone and email.
  • Strong planning skills and the ability to manage several priorities at once.
  • Practical understanding of vehicle maintenance coordination, defects and record keeping.
  • Confidence using computer systems, email and spreadsheets.
  • Initiative, sound judgement and personal accountability.
  • A collaborative approach and the drive to improve both your performance and the wider business.
  • The ability to work on-site at our Leicester head office.
  • Availability for a minimum 45-hour working week across a Monday–Sunday rota, including weekends.

Vehicle rental experience is an advantage.

We also welcome candidates with strong transferable fleet and customer service experience who are ready to develop their specialist knowledge.

Build your career with us

You will have the opportunity to put forward ideas, develop your expertise and make a visible contribution to a growing business.

As your capabilities and the business develop, potential progression includes:

  • Performance-related annual bonus of up to 5%.
  • Company pension.
  • Training and development relevant to the role.
  • Direct access to the people making decisions.
  • The opportunity to take ownership and help shape our service as we grow.

Working pattern

This is an on-site role at our Leicester head office.

You will work a minimum of 45 hours per week on a rota within our operating window of 7am–6pm, Monday to Sunday .

This does not mean working all seven days each week.

Weekend working is an essential part of the role.

The rota, breaks and arrangements for additional hours will be explained during recruitment.
